Job description

Administrative Assistant / Student Services Associate
Position Summary:
Liberty Public Schools is seeking a highly organized, customer-focused professional to serve in a dual-role position that combines the responsibilities of an Administrative Assistant and Student Services Associate for the Student Services Department. This full-time, 12-month position provides critical support to building staff and administrators, as well as students and families while ensuring the efficient and effective operation of the Student Services Department.
This position is structured as a 50/50 split between both roles within the Student Services Dept.:
  • Mornings (8am. -12pm): Administrative Assistant for Student Services responsibilities
  • Lunch Break- 12:00pm. - 12:30pm
  • Afternoons (12:30pm. - 4:30pm): Student Services Associate responsibilities

The successful candidate will demonstrate exceptional customer service, strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced educational environment.
Employment Status: Full-Time, 12-Month Position
Days of the Week and Work Hours:
  • Monday through Friday
  • Full-time shift: 8am - 4:30pm
Pay:
  • Administrative Assistant: $18.79 - $23.58 per hour
  • Student Services Associate: $21.70 - $27.22 per hour
Placement based on relevant work experience

Job Duties
Administrative Assistant for Student Services (Duties & Responsibilities)
Responsibilities include, but are not limited to:
  • Provide administrative support for the Student Services Department.
  • Serve as a primary point of contact for students, families, staff, and community members.
  • Answer and direct telephone calls, emails, and visitors in a professional manner.
  • Prepare correspondence, reports, presentations, and other department documents.
  • Maintain departmental records, files, and confidential information.
  • Coordinate schedules, appointments, meetings, and department events.
  • Assist with data entry, recordkeeping, and reporting requirements.
  • Process forms, requests, and departmental paperwork accurately and efficiently.
  • Support department administrators with daily operational needs.
  • Perform other duties as assigned consistent with the Administrative Assistant for Student Services position.
Student Services Associate (Duties & Responsibilities)
Responsibilities include, but are not limited to:
  • Support students, families, and staff by providing information and assistance regarding student services programs and processes.
  • Assist with student records management and compliance-related activities.
  • Coordinate communications between families, schools, and Student Services personnel.
  • Maintain accurate documentation and student information systems.
  • Support departmental initiatives, programs, and special projects.
  • Creates, manages, and maintains the district's student enrollment system for the purpose of ensuring accurate, timely student registration.
  • Leads training sessions for staff on enrollment-related processes, including guardianship, court orders, residency requirements, transfer requests, McKinney-Vento, foster care, and disciplinary history, for the purpose of ensuring compliance with legal standards and district policies.
  • Updates and maintains enrollment databases by processing demographic changes, transfer requests, and other student records for the purpose of preserving data integrity and historical documentation.
  • Perform other duties as assigned consistent with the Student Services Associate position.
Qualifications
  • High school diploma or equivalent required.
  • Bachelor's degree or additional post-secondary education preferred.
  • Job-related experience
  • Certified Notary Public (Required within 60 work days of hire)
