Summary

Summary/Objective

The Administrative Assistant is responsible for high level administrative support and the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.  The role ensures smooth communication, and coordination across the department. 

Position Description

Essential Functions

  • Manage the CPGO's calendar, prioritizing urgent and important matters 
  • Schedule department meetings and prepare agendas, record and distribute minutes as requested
  • Prepare complex travel arrangements and manage expense reports
  • Draft correspondence, memos, and reports; edit and review communications
  • Coordinate in-office and offsite events
  • Assist other departments and work with interdepartmental teams as assigned
  • Maintain organizational policies and procures
  • Support special projects and interdepartmental initiatives 
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written reports or summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions.
  • Administers USPS, FedEx, and UPS shipments. 
  • Reviews and processes invoices.

Qualifications

Required Education and Experience

  • A minimum of Associates degree required.
  • A minimum 3 years of experience in administrative role.

Preferred Education and Experience

  • Bachelor's degree in related field preferred.
  • 5+ years of experience in administrative role
  • Bi-lingual in English (business level) and Japanese (business level)

Additional Eligibility Qualifications

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently
