Job description

Legacy Funeral Group is seeking a highly organized, detail-oriented Administrative Assistant to provide administrative support to the Chief Operating Officer and the General Counsel. This position is ideal for an administrative professional who is looking to learn and grow in a fast-paced corporate environment.

The primary focus of this role will be providing administrative and organizational support to the Chief Operating Officer and the General Counsel while assisting with document preparation, file management, scheduling, and communication. The successful candidate will be a proactive, dependable, and organized self-starter, who possesses exceptional attention to detail and communication skills and can maintain strict confidentiality.

These duties must be performed consistently with the company's mission and values, and in adherence to the company's policies and procedures.

Essential Functions and Competencies

  • Provide administrative support to the Chief Operating Officer and General Counsel.
  • Manage calendars and schedule meetings, conference calls, and appointments.
  • Prepare correspondence, reports, memoranda, and other business documents.
  • Draft, proofread, and format legal and business documents as directed.
  • Organize, maintain, and archive files, contracts, corporate records, and confidential documents.
  • Assist with collecting and organizing documentation related to corporate operations, claims, regulatory matters, litigation, and corporate transactions.
  • Monitor deadlines and maintain tracking systems for contracts, renewals, operations, and legal matters.
  • Coordinate execution of contracts and maintain executed agreement files.
  • Receive, screen, and route telephone calls, emails, and correspondence.
  • Coordinate with internal departments, outside counsel, insurance representatives, and business partners.
  • Assist with document requests, records retention, and compliance-related administrative tasks.
  • Perform other administrative duties as assigned.


Required Education and Experience

  • High school diploma or GED.
  • Administrative or executive assistant experience.
  • Exceptional organizational and time management skills.
  • Excellent attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Familiarity with document management practices.
  • Ability to handle highly confidential and sensitive information with professionalism and discretion.
Preferred
  • Bachelor's Degree
  • Three (3) or more years of administrative or executive assistant experience.
  • Previous experience supporting a corporate executive or attorney.
  • Experience working with electronic document management systems.
  • Notary Public certification or willingness to obtain certification (preferred but not required).
Knowledge, Skills, and Abilities
  • Working knowledge of how to prepare documents and correspondence.
  • Strong proofreading and grammar skills.
  • Excellent interpersonal and customer service abilities.
  • Ability to exercise sound judgment and maintain confidentiality.
