Job description

The Receptionist / Administrative Assistant provides administrative and operational support for both the corporate office and property management department. This position serves as the first point of contact for visitors, tenants, agents, and vendors while assisting with daily office operations, leasing support, and general administrative functions.
Essential Duties and Responsibilities
  • Greet and assist visitors, clients, agents, and vendors in a professional manner
  • Answer, screen, and direct incoming phone calls and emails
  • Manage room calendars, appointments,
  • Order, maintain, and track office and corporate and property management supplies
  • Prepare correspondence, mailings, and stuff envelopes as needed
  • Process and run lease applications and assist with leasing documentation
  • Communicate with agents, tenants, vendors, and homeowners regarding routine matters
  • Maintain organized property and corporate files, both electronic and paper
  • Make copies, scan documents, and assist with record retention and file management
  • Assist with owner, tenant communications, notices, and follow-up calls
  • Support daily property management operations and administrative projects
  • Assist with data entry, reporting, and other clerical duties as assigned
  • Maintain confidentiality of company and client information

Qualifications
  • High school diploma or equivalent required
  • Previous receptionist, administrative, real estate or property management experience preferred
  • Strong verbal and written communication skills
  • Proficient in Microsoft Office Suite, including Outlook, Word, and Excel
