Job Title: Administrative Assistant, Training Department
Location: Houston   
Reports to: Training Manager 

Summary:   
The Training Department Administrative Assistant performs routine clerical, secretarial, and administrative work in support of the Training Department. This role supports the registration and tracking of apprentices, coordinates and schedules training activities, assists with creation of training aids, maintains accurate record-keeping, and serves as a point of contact for the department.

Responsibilities:
•    Registers apprentices in RAPIDS and maintains accurate, up-to-date apprentice records.
•    Tracks apprentice on-the-job training (OJT) hours, certifications, and progress toward completion requirements.
•    Coordinates and schedules training classes, instructors, facilities, and materials for apprentices and employees.
•    Serves as a point of contact for the Training Department, responding to internal inquiries from employees, managers, and branch locations.
•    Maintains training department files, certification records, and compliance documentation.
•    Collect training feedback, maintain participation records, and summarize results for leadership
•    Prepares, duplicates, and distributes training materials, reports, rosters, sign-in sheets, and other training department material.
•    Maintains training department office and supply inventory.
•    Assists with tracking apprentice enrollment status, employee certification renewals, and required documentation deadlines.
•    Other job duties as assigned.
 

Qualifications
•    High School diploma or GED required.
•    Experience coordinating schedules, events, or internal programs
•    Prior administrative support, office coordination, training administration, or related experience
•    Must have good interpersonal and communication skills, both written and verbal with the ability to interact professionally with employees, supervisors, trainers, and leadership
•    Exceptional organization skills with the ability to manage multiple projects and priorities simultaneously
•    High attention to detail and commitment to maintaining accurate records and documentation
•    Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn training/apprenticeship tracking systems.
•    Ability to read, interpret, and write reports legibly in English.
•    Ability to prioritize, organize, and meet work deadlines.
•    Ability to type a minimum of 45 wpm
