Reports To: Office Manager or Operations Manager
Compensation: $15 - $20 hourly, depending on experience level

Our team is known for professionalism, craftsmanship, and a commitment to safety. We are currently looking for a full-time Receptionist to be the welcoming face of our office and provide essential administrative support to our team.

Position Summary

The Office Administrator / Receptionist is the first point of contact for clients, subcontractors, and visitors. This role is essential in maintaining the professional image of our company and supporting the day-to-day operations of our construction office. The ideal candidate is dependable, friendly, organized, and comfortable working in a fast-paced environment.

Key Responsibilities

  • Greet and assist all visitors in a professional and courteous manner
  • Answer and direct incoming calls promptly and efficiently
  • Manage and distribute incoming mail and deliveries
  • Maintain a clean and organized reception area and shared office spaces
  • Handle general administrative duties such as filing, scanning, data entry, and document management
  • Maintain office supplies, kitchen inventory, and PPE stock levels
  • Support scheduling and preparation for meetings and company events
  • Assist with Accounts Payable (AP) and Accounts Receivable (AR), including invoice processing, payment tracking, and filing financial documents
  • Assist project managers and other departments with clerical tasks as needed
  • Ensure all visitors follow sign-in procedures and company policies
  • Coordinate outgoing shipments, including construction plans and documents
  • Perform notary services for company documents, if commissioned as a Texas Notary Public

Qualifications

  • High school diploma or equivalent required
  • 1–2 years of experience in a receptionist or administrative role; experience in the construction or related industries preferred
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Professional appearance and positive attitude
  • Excellent organizational skills and attention to detail
  • Ability to multitask and prioritize effectively in a busy office environment
  • Reliable and punctual with a strong work ethic
  • Current Texas Notary Public commission preferred, or willingness to obtain one after hire
  • Experience assisting with Accounts Payable and Accounts Receivable is preferred

Work Schedule

  • Full-time, Monday to Friday
  • Standard office hours (e.g., 8:00 AM – 5:00 PM)
