Job description

Position Overview

The Supv, Admin Support oversees the Department of Surgery administrative support staff across the divisions within the Department of Surgery. The Supervisor, Administrative Support is responsible for coordinating and overseeing day-to-day fiscal, administrative, and operational activities across multiple organizational units within a large and multifaceted academic medical department. The position participates in administrative decision-making, develops and administers operational policies and procedures, supervises administrative support staff, and serves as a liaison between Division and Department and leadership.

In conjunction with the supervisor duties, this position will also provide comprehensive administrative, operational, and purchasing support to ensure the efficient coordination of the Plastic Surgery Division activities and operations.

This position requires strong organizational skills, independent judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced clinical and academic environment.

Working closely with the Department Leadership Team, including the Department Administrator, Operations Manager, Division Chiefs, faculty, and other key leaders, this role contributes significantly to the overall effectiveness and success of the Division and Department.

Duties and Responsibilities

  • Serve as the primary administrative point of contact for the Division of Plastic Surgery.
  • Supervise and coordinate Division Support staff, including hiring recommendations, onboarding, training, performance management, work allocation, and problem resolution.
  • Coordinate and oversee day-to-day administrative, operational, and fiscal support activities across the Division and Department.
  • Planning, organizing, and coordinating the execution of complex administrative and/or operational projects
  • Gather, organize, analyze, and present information and recommendations to leadership.
  • Manage scheduling and calendaring for division meetings, leadership meetings, and other departmental activities.
  • Track faculty leave requests, licensure expiration dates, credentialing timelines, and other compliance-related activities.
  • Participation in strategic administrative decision making and in the establishment and administration of operating policies and procedures.
  • Assist in the development, implementation, and administration of departmental operating policies and procedures.
  • Develop and maintain systems for records management, operational tracking, and administrative workflows.
  • Coordinate communication and collaboration between department divisions, university departments, hospital entities, and external agencies.
