Join Our Dynamic Team as an Admin Support Specialist!
Are you organized, customer-focused, and looking for a role where every day is a little different? Ice Town is seeking an Admin Support Specialist to help keep our branch running smoothly while supporting our customers, technicians, and office team.
A Day In The Life:
  • As a customer champion, answer incoming calls and emails, provide accurate information, and deliver outstanding customer service.
  • Schedule and dispatch service technicians using our dispatching software, while communicating schedule updates, job statuses, and changes throughout the day.
  • Create, update, and manage service work orders, including equipment information, service notes, billing details, and customer quotes or estimates.
  • Assist customers with service scheduling, equipment intake, billing questions, and invoice follow-up.
  • Maintain accurate customer, service, and billing records within our ERP platform.
  • Support daily office operations by scanning documents, organizing files, sorting mail, and maintaining records for easy access.
  • Assist with office procedures and administrative tasks to help keep the branch running efficiently.
  • Be a safety advocate by following and promoting our accident prevention and safety procedures.
What It Takes to Land This Role?
  • Exceptional Communicator: Strong customer service, communication, and problem-solving skills.
  • Team Player: This is a non-supervisory role reporting to the General Manager, where collaboration and supporting others are key.
  • Safety-First Attitude: You prioritize safety in all you do.
  • Self-Motivated and Organized: Excel at working independently, staying organized, and managing your time effectively.
  • Multitasking: Able to balance multiple priorities in a fast-paced environment.
  • Adaptable Dynamo: Embrace new challenges assigned by the Branch Manager, demonstrating flexibility and a willingness to learn.
  • You have 1-2 years of administrative, customer service or related professional experience
  • Successful completion of a pre-employment drug screen and criminal background check required
  • Must be at least 18 years of age
Physical Demands:
  • Primarily work in a typical office environment.
  • Occasional Lifting: Light lifting of office equipment, supplies, and boxes may be needed.
  • A mix of sitting, walking, and standing throughout your day.
  • Comfortably operate computers and office equipment.
Compensation & Benefits:
  • Pay: $20-$25 per hour, based on experience
