Job Title: Program Support Specialist (Admin Support)
Period of Performance: 06/01/2026 through 05/31/2027 - option to be extended
DESCRIPTION OF SERVICES:
The Program Support Specialist (Admin Support) will be secondarily responsible for assisting in the management of several administrative programs for the Research Laboratory, Ann Arbor, Michigan.
Responsibilities:
Automated Procurement Processing
Assist laboratory staff with procurement requests for supplies and equipment, performing market research
Assemble documentation received from staff and place in format.
Enter data into automated system / Receive supplies - prepare closeout reports.
Government Purchase Card Processing
Read, interpret government purchase card regulations
Organize government purchase card receipts / Reminder staff / file receipts
Office Supply Management
Order office supplies for lab personnel / Maintain office supplies for lab personnel / Review stockage levels
Serve as property contact / Enter into system new items / Serve as liaison
Automated Budget Reports
Provide BAS reports on a reoccurring basis / Answers budgetary questions
Automated Timekeeper Backup
Serves as backup to primary timekeeper / Makes corrections, puts in project codes.
Backup Travel Responsibilities
Serves as backup to Government travel subject matter expert (SME).
Prepares travel arrangements and authorizations in accordance with regulations and organizational guidance as directed by the SME.
Prepares and routes travel vouchers ensuring proper documentation and proper timelines are met as directed by the SME.
General Administrative - Customer Service Duties.
Processes mail utilizing agency meter mailing equipment and UPS/FEDEX automated systems, as well as signing for received mail.
Answers main phone line and directs calls as required.
Coordinates and participates in event hosting and functions for the laboratory, greeting visitors and vetting them for valid credentials and citizenship requirements, to include foreign national visitors.
Greets all other visitors to the facility and ensures security requirements are met.
Prepares and maintains rosters of various types in regard to new and departing staff, ensuring rosters and information is up to date.
Supports all staff in general administrative duties and inquiries such as, but not limited to, making copies, records management, processes and procedures, and general administrative issues.
Other miscellaneous administrative duties as required.
REQUIRED AND DESIRED KNOWLEDGE, SKILLS, AND ABILITIES:
The individual MUST be customer service oriented and present themselves as a professional at all times. This is a requirement.
Knowledge of Google suite products, to include email, drive, calendars, and documents is strongly desired.
Knowledge of Microsoft Office applications (MS Word, Excel, and PowerPoint) and Adobe Creative Suite products is strongly desired.
Individual must be adaptive and possess the ability to learn various Government automated systems and processes. Familiarization with these systems is highly desired but not required.
Must have a valid state driver's license.
Secondary education at the associate's degree level or above is desired but not required.
Some familiarization with government acquisition regulations, policies, processes and procedures are highly desired but not required.
Must be able to read, write, and speak English.
Location: Ann Arbor, MI
Schedule: The normal hours of operation are Monday through Friday, 8:00 am - 5:00 p.m., exclusive of federal holidays, Saturday and Sunday. Federal holidays are listed below.
