Job description

Orange County Health Psychologists seeks an experienced, efficient, and charismatic Administrative Assistant to join our busy Admin Team in our main office in Irvine, California. Our highly regarded group practice of 80+ psychologists and therapists provides high quality behavioral health services at four California locations.
The successful candidate will be responsible for assisting patients with a warm, compassionate, and professional demeanor along with providing administrative support to a team of employee therapists. Support functions include managing inquiry calls, scheduling patients, verifying benefits, auditing and entering patient forms and demographic data, posting payments, following up on unpaid insurance claims, and assisting providers with maintaining positive and efficient patient relations - - - all with a high degree of professionalism, attention to detail, and strong organizational skills. General knowledge of office procedures and computer systems is required.
Knowledge or education in any of the following is a plus: psychology, health care, or medical front office/medical billing. We also provide the opportunity to expand to additional roles and projects within the organization depending on an employee’s interests, strengths, and skills sets.

DUTIES & ESSENTIAL JOB FUNCTIONS:
  • Assist with new patient inquiries; assessing need and matching patients to the most appropriate provider
  • Answer patient questions and provide information
  • Track inquires to ensure that all callers have been helped on a timely basis
  • Coordinate intake appointments to include scheduling and intake documents
  • Input patient demographics and insurance information
  • Call for verification of insurance benefits
  • Provide support functions to a team of therapist providers
  • Schedule appointments and manage providers’ master calendars
  • Process credit card payments
  • Manage A/R to resolve insurance and patient billing issues
  • Follow all regulations and guidelines set by HIPAA, Medicare, state programs, and licensing boards
  • Contribute to the overall mission and core values of the group practice
  • Other duties as assigned.
MINIMUM QUALIFICATIONS:
The minimum qualifications for this position include:
  • 2+ years of experience in an office environment
  • Bachelor’s degree - preferably in psychology, health care, communications or other related field
  • Excellent verbal and written communication skills
  • Strong organizational skills
  • Self-motivated and self-directed with the ability to multitask and prioritize
  • Experience with Microsoft Office Suite required. Medical management software or other practice or accounting software experience a plus
