Human Resources Administrative Assistant

Position Summary:

The Human Resources Assistant provides administrative and operational support to the Human Resources department, ensuring accurate recordkeeping, smooth onboarding, and responsive employee support. This role is essential to maintaining compliance with California employment laws and supporting daytoday HR functions including recruiting, benefits, payroll changes, and employee communications.

Key Responsibilities:

  • Post job openings, coordinate interviews, and communicate with candidates
  • Prepare onboarding materials and coordinate newhire orientation
  • Ensure completion of I9s, EVerify (if applicable), and onboarding paperwork
  • Maintain and update employee personnel files in compliance with company policies and legal requirements
  • Process employee status changes, new hires, and terminations documentation
  • Assist with audits and compliance reporting as needed
  • May process payrollrelated changes, timeoff requests, and employee data updates
  • Coordinate training sessions and support employee events
  • Prepare HR reports and assist with special projects supporting the Finance and Data Engineering Team
  • Manage weekly office snack shopping to ensure adequate inventory of fresh fruit, nuts, and treats; ensure descaling of coffee machines, etc.
  • Other duties as assigned

Required Qualifications:

  • Bachelor's Degree from an accredited college or university
  • Proficiency in Microsoft Outlook, Word, and Excel skills, including logic and lookup functions.
  • Strong attention to detail and confidentiality
  • Experience with HRIS or payroll systems (ADP, Paylocity, UKG, Workday, etc.)
  • 3+ years of administrative experience as an administrative assistant or in a similar role
  • Strong organizational and time-management skills
  • Excellent communication and interpersonal abilities
  • Ability to multitask and prioritize effectively

Hourly Rate: $28.00 - 34.00 per hour
