Job description

Restaurant Admin & Payroll Coordinator

HED NYC is a modern Thai fine dining restaurant in West Chelsea seeking a detail-oriented Restaurant Admin & Payroll Coordinator to support day-to-day back-of-house operations. This part-time hourly role is ideal for someone with hospitality or restaurant office experience who thrives in a fast-paced, multi-brand environment. You'll work closely with ownership and management to keep our admin, payroll, and financial records running smoothly.

Key responsibilities

  • Run bi-weekly or weekly payroll processing via ADP; ensure accurate wage, overtime, and tip calculations per NYC law
  • Maintain hourly time records and flag discrepancies; audit timecards in Toast and ADP
  • Track and reconcile daily tip pooling records across FOH and BOH teams
  • Assist with hiring paperwork: I-9 verification, W-4, IT-2104, offer letters, onboarding packets
  • Monitor daily revenue and expense entries; prepare weekly summary reports for ownership
  • Coordinate with vendors and track invoices; flag outstanding payments
  • Maintain organized digital and physical filing system for HR and financial documents
  • Support ownership with ad hoc admin tasks, scheduling, and internal communications

Required qualifications

  • 1–3 years of admin, payroll, or office coordinator experience in a restaurant or hospitality setting
  • Hands-on proficiency with Toast POS (reporting, timeclock, labor tools)
  • Working knowledge of ADP Workforce Now or ADP Run for payroll processing
  • Solid understanding of NYC wage & hour laws, tip credit rules, and ESSTA sick leave
  • Strong Excel or Google Sheets skills for revenue/expense tracking
