Accretive Technology Group - Executive Assistant, Finance
Location - Seattle, WA (Onsite). This role is primarily onsite to support team collaboration. Following satisfactory completion of a 90-day onboarding period, employees may be eligible for a hybrid schedule subject to manager approval and business needs.

About the Job - Our Finance organization partners across more than 40 companies to deliver accurate financial reporting, operational excellence, and strategic decision-making. We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support Finance leadership. This role goes beyond traditional administrative support by serving as a trusted business partner responsible for coordinating executive priorities, managing critical communications, driving meeting execution, and ensuring follow-through on key initiatives.
The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and is comfortable working with confidential financial and business information. Experience supporting Finance, Accounting, Audit, Tax, Legal, or other executive business functions is highly preferred.
Responsibilities and Duties -
  • Calendar and Time Management: Manage complex executive calendars for Finance leadership, strategically prioritizing meetings, deadlines, and competing priorities. Coordinate recurring financial close, planning, audit, tax, and leadership meetings while proactively identifying scheduling conflicts and recommending solutions. Ensure executives are well-prepared by monitoring upcoming commitments, providing reminders, and coordinating necessary materials.
  • Meeting Coordination and Follow-Through: Coordinate meetings across multiple stakeholders, including executives, auditors, business leaders, vendors, and external partners. Prepare agendas, presentation materials, and supporting documentation. Attend meetings as requested to capture accurate meeting minutes, document key decisions, action items, owners, and deadlines. Distribute timely meeting recaps and proactively follow up with individuals to ensure commitments are completed and executives remain informed of progress.
  • Event and Travel Planning: Coordinate executive travel, conferences, leadership offsites, and company events, including itineraries, accommodations, transportation, venue selection, catering, and meeting logistics while balancing cost-effectiveness and executive preferences.
  • Expense Report Management: Prepare, review, and reconcile executive expense reports in accordance with company policy. Ensure expenses are submitted accurately and timely while partnering with Accounting to resolve discrepancies or documentation needs.
  • Communication and Correspondence: Manage executive communications, including email monitoring, drafting correspondence, preparing presentations, reports, and executive communications with a high degree of professionalism, accuracy, and confidentiality.
  • Information Management: Organize and maintain confidential files, records, meeting notes, and documents. Ensure easy access to information, maintain version control, and implement appropriate data security measures. Conduct research and gather data to support executive decision-making processes.
  • Relationship Management: Build and maintain positive relationships with key stakeholders, including clients, partners, and employees. Serve as a liaison between the executive team and internal/external parties, providing exceptional customer service and representing the company's values and professionalism.
  • Special Projects: Support special initiatives and ad-hoc assignments as assigned by management. This may include conducting research, preparing reports, creating presentations, and coordinating cross-functional activities.
Qualifications and Skills -
  • Proven Experience: Minimum of 5 years of experience supporting senior executives, preferably within Finance, Accounting, Audit, Tax, Legal, or other corporate business functions.
  • Organization & Prioritization: Exceptional organizational and time management skills with the ability to manage multiple deadlines, shifting priorities, and confidential information in a fast-paced environment.
  • Communication Skills: Outstanding written and verbal communication skills with strong business writing abilities and the confidence to interact with executives and stakeholders at all organizational levels.
  • Discretion and Confidentiality: Proven ability to handle highly sensitive financial, personnel, and business information with integrity and discretion.
  • Attention to Detail: Exceptional attention to detail with a commitment to accuracy, consistency, and producing high-quality work.
  • Technology Proficiency: Advanced proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint. Experience with Smartsheet, expense management platforms, and collaboration tools is preferred.
  • Adaptability: Comfortable navigating ambiguity, responding to changing business needs, and maintaining composure while managing multiple high-priority requests.
  • Professionalism: Demonstrates initiative, accountability, sound judgment, and a high level of professionalism while representing Finance leadership.
  • Preferred: Experience supporting executives within Finance, Accounting, Audit, Tax, Legal, or other corporate functions, including coordinating recurring business processes such as month-end close, budgeting, forecasting, audits, board meetings, or executive leadership meetings.

The successful candidate's placement within this range is dependent on a variety of factors, such as qualifications and level of professional experience. Employees in this position may be eligible to participate in the company's discretionary profit sharing program.
