Job description

Job Title: Administrative Assistant (Accounting)
Status: Part-time, non-exempt (10-15 hours per week)
Location: Morgantown, PA (hybrid)
Summary
Our Administrative Assistant will perform a variety of bookkeeping and administrative duties to support the financial health and growth of Twin Valley Coffee. He or she will be responsible for assisting with operations tasks and objectives, specifically related to accounting and financial records. This position will be primarily remote, but there will be regular tasks that require on-site visits at least once a week to our offices and potentially occasional visits to cafes or the production facility.
Responsibilities
  • Performing day-to-day administrative tasks such as maintaining information files and processing paperwork.
  • Correspond with vendors via phone, mail, and email to respond to complex questions, investigate and resolve issues, and follow up on outstanding items. Ensure all correspondence and requests are documented and attached to the appropriate file in the appropriate systems.
  • Assist with accounting processes as needed, including accounts payable, timecards, sales reports, and journal entries.
  • Enter data for purchase orders.
  • Communicate company tax information requirements with new vendors.
  • Assist with document retention, including scanning and the organization of physical and electronic documents.
  • Support other departments with daily financial operations or questions.
  • Assist Human Resources with tasks as needed, including payroll, data entry, communications, etc.
  • Anticipate needed supplies; placing and expediting orders for supplies and verifying receipt of supplies.
Skills and Abilities
  • Completed high school diploma or equivalent
  • Proven ability to interact well with people, including listening and communicating effectively.
  • Extremely organized and detail-oriented.
  • Able to identify and resolve problems in a timely manner.
  • Skillfully gather and analyze information while maintaining confidentiality.
  • Proficient in, or willing to learn, all computer programs that TVC uses for daily operations, such as Google Suite, Netsuite, Paycor, and Excel.
Physical Requirements
  • May be regularly required to stand, sit, talk, hear, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard.
  • Specific vision abilities required by this job include close vision requirements for computer work for extended periods of time.
  • Frequent driving may be required to visit job sites or vendor locations.
