Job Description: Director of Finance

Reports To: General Manager / Chief Operating Officer

Position Type: Full-Time, Salaried
Location: Northeast Florida (36-Hole Facility | $15M Revenue Base)

Position Summary

The Director of Finance is responsible for all financial operations, accounting controls, and fiscal reporting. Managing a $15M multi-departmental revenue stream—spanning 36 holes of golf, multiple food and beverage outlets, and a robust membership base—this role blends hands-on accounting management with strategic financial planning. The ideal candidate provides actionable financial analysis to department heads, the General Manager, Finance Committee and the Board of Governors to ensure long-term fiscal health.

Core Responsibilities

Financial Control & Accounting Operations

  • Financial Statements: Prepare accurate, timely monthly and annual financial statements, balance sheets, and cash flow reports.
  • Internal Controls: Design, implement, and maintain rigorous internal control systems to safeguard club assets and prevent fraud.
  • Audit & Tax: Coordinate the annual independent audit and ensure timely preparation of all federal, state, and local tax filings.
  • Daily Operations: Directly oversee or perform payroll processing, accounts payable, accounts receivable, and monthly member dues billing cycles.

Financial Planning & Analysis

  • Annual Budgeting: Lead the annual operating and capital budgeting processes, collaborating closely with the General Manager and Department Heads.
  • Variance Analysis: Conduct deep-dive monthly variance analyses on all departments (Agronomy, Golf Operations, F&B) to keep expenses aligned with revenue.
  • Operational Analytics & Cost Management: Partner with department leaders to analyze labor utilization, operating trends, pricing, and departmental financial performance, providing actionable insights to improve efficiency, member experience, and overall financial results

Asset, Capital Reserve & Debt Management

  • CapEx Planning: Maintain the Club’s 10-to-20-year capital reserve study, projecting replacement timelines for equipment, fleet leases, and infrastructure.
  • Cash Flow Forecasting: Develop rolling 12-month cash flow projections

· 10-Year Integrated Funding Model: Maintain 10-year forecasting model which incorporates membership & revenue dynamics, operating cost structures & inflation assumptions, capital plan & debt maintenance.

Governance & Leadership

  • Finance Committee & Board Presentable Reporting: Prepare and present Finance Committee and Board reporting materials, translating complex financial data into concise, actionable executive presentations.
  • Team Leadership: Manage, mentor, and professionalize any existing accounting staff (e.g., accounts payable and accounts receivable clerks).
  • Technology & Systems: Oversee the Club’s technology and financial systems infrastructure, including accounting, payroll, member billing, and point-of-sale platforms. Coordinate with software vendors on system upgrades, integrations, troubleshooting, and enhancements. Manage and oversee the Club’s outsourced IT vendor relationship, ensuring timely support, cybersecurity compliance, system reliability, network performance, and alignment with organizational technology objectives and strategic initiatives.

Compliance & Risk Management

  • GAAP & Regulatory Compliance: Ensure all financial reporting and accounting practices comply with GAAP and applicable federal, state, and local regulations.
  • External Relationships: Serve as the primary liaison with external auditors, banking institutions, and insurance providers; manage those relationships to support the Club’s financial stability and compliance objectives.
  • Risk Management: Support risk management initiatives and insurance administration, monitoring operational exposures and ensuring appropriate coverage and policy compliance across Club operations.

Key Qualifications

  • Education: Bachelor’s degree in Accounting, Finance, or Business Administration required.
  • Certifications: CPA, CMA, or CHAE (Certified Hospitality Accountant Executive) is highly preferred.
  • Experience: 5 to 7+ years of progressive financial management experience, ideally in a private club, resort, or hospitality setting managing at least $8M–$10M in revenue.
  • Technical Skills: Strong financial modeling and Excel capabilities required. Knowledge of North Star or similar club ERP software a plus.
  • Communication: Strong interpersonal skills with the ability to explain financial concepts clearly to non-financial Department Heads and volunteer Board members.
  • Knowledge: Strong working knowledge of GAAP, budgeting, forecasting, internal controls, and financial reporting standards.
  • Leadership Style: Proven leadership ability with a collaborative, approachable, and service-oriented management style; high integrity, sound judgment, and exceptional attention to detail.
