Job description

The Account Specialist plays an integral part of the team that is provided to each account. The objective of the Account Specialist is to provide the highest level of customer service to ensure that all concerns, questions, and requests are handled in a timely, efficient, and professional manner. In addition, this is a support position that allows the Account Manager to focus on their expected responsibilities, while being supported and assisted by the Account Specialist in team structure. The Account Specialist is expected to know the Association as well as the Account Manager so all communication with the Board, residents, and vendors is current and accurate. This will also allow for seamless day-to-day functionality.  

 

·         Work with a team led by the Account Manager

o   This will be most of the day to day. The account manager will delegate tasks to complete throughout the day. If specific items are a priority, this should be decided by the account manager. Some examples of requests given by a manager include:

  • Phone calls to Homeowners, Board Members, Vendors
  • Responding to Homeowners emails/requests
  • Looking through WMG resources to learn/obtain information pertaining to a question or request and/or to learn more about the Association.
  • Submit Proposal Requests
  • Submit Work Orders
  • Issue specific letters (Budget, Annual Meeting, Form Submissions, etc.).

·        Schedules and coordinates work orders/proposal requests

o   The Account Specialist will be responsible for obtaining proposals from vendor(s) to price specific upcoming projects. This process also includes reviewing the scope of work within each proposal to compare what is being proposed, along with comparing the pricing. The Account Specialist will be heavily involved with all project information and provide necessary updates to the community.

o   The Account Specialist will be responsible for understanding the work order process and overseeing that this process is being followed per WMG process by the corresponding CSR. The CSR will be responsible for submitting work orders and seeing each one through until completion.

 

Acts as the liaison between Account Managers, vendors, Boards, and owners.

o   The Account Specialist will be responsible for being the first line of defense and is expected to know the association as well as the account manager.

o   The Account Specialist will be responsible for sourcing the answers to all questions from homeowners. There are multiple areas in which these answers could be found:

  • SharePoint
  • Vantaca
  • Association Governing Documents

·        Data Entry

·        Performs other related duties as assigned.

·        Facilitate and coordinate company resources for clients.

·        Suggested – Weekly meeting with team.

 

*Account Specialists might be asked to participate in meetings with one of the corresponding managers that is being supported. These meetings are typically in the evenings with the Associations Board Member’s and/or Membership. *

*Account Specialists are encouraged to join their corresponding Account Manager(s) at least once for an on-site walk through to be able to see the association, as this will be helpful for when homeowners call to discuss something onsite or report any issues. *
