Job Summary: The Department of Natural Sciences within the College of Science, Engineering, and Mathematics (CSEM) at Bethune-Cookman University (B-CU) seeks qualified applicants for a full-time STEM Academic Support Coordinator. This dual-role position is responsible for:
(1) coordinating and overseeing the CSEM Tutoring and Academic Support Program across all STEM disciplines, including Biology, Chemistry, Biochemistry, Mathematics, Computer Science, Computer Engineering, Computer Information Systems, Physics, and Integrated Environmental Science; and (2) providing academic program, administrative, and grant-support coordination for college-wide STEM student success, retention, academic support, and externally funded initiatives.
This position serves as a key contributor to the college’s student success, retention, and academic support infrastructure by integrating tutoring coordination, faculty-led interventions, peer mentorship, academic programming, and grant-supported student initiatives. The successful candidate will work collaboratively with faculty, staff, administrators, and students to strengthen academic progression, support gateway STEM courses, and coordinate responsive interventions designed to improve persistence and degree completion in STEM fields.
The tutoring and academic support component of this position requires the individual to develop, implement, and manage a multi-tiered academic support infrastructure centered on faculty-led intervention, retention, peer mentorship, and responsive student support. The coordinator will oversee the Assistant Teaching Peer (ATP) program, supervise and train a team of 10-12 tutors, coordinate faculty recitation sessions, and track student participation and outcomes to assess program effectiveness and support student success initiatives. Additionally, the coordinator will serve as an active tutor, providing direct academic support to students as needed and assisting with the coordination of academic success programming, bridge initiatives, and other student-centered retention efforts.
The administrative and grant support component of this position requires the individual to support the daily administrative and programmatic operations while assisting faculty with grant-related activities and academic program implementation. The coordinator will serve as a primary point of contact for faculty, staff, students, and external stakeholders, coordinating communications, maintaining records, and facilitating day-to-day functions. Responsibilities also include managing requisitions, procurement, and financial processes related to departmental and grant-supported activities, assisting with student-support purchases and program logistics, and helping track documentation and reporting requirements associated with externally funded initiatives and academic support programs.
The successful candidate will work independently with minimal supervision, exercise sound judgment, and maintain effective working relationships across the university community. This position requires strong organizational skills, the ability to manage multiple priorities simultaneously, and a genuine commitment to student success. May provide oversight to student assistants and temporary staff.

Duties/Responsibilities
Part I: Tutoring Coordination and Academic Support
Program Coordination and Oversight
  • Oversee the day-to-day operations of the CSEM Academic Support Program, ensuring alignment with course objectives, student learning outcomes, and retention initiatives across all STEM disciplines, including Biology, Chemistry, Biochemistry, Mathematics, Computer Science, Computer Engineering, Computer Information Systems, Physics, and Integrated Environmental Science.
  • Develop, implement, and maintain a comprehensive tutoring and academic support schedule that accommodates the academic calendar, faculty recommendations, and student demand across CSEM programs.
  • Coordinate faculty recitation sessions, tutoring coverage, and academic intervention efforts to support student success in STEM gateway and high-impact courses.
  • Recruit, hire, train, supervise, schedule, and evaluate a team of tutors, ensuring consistency, professionalism, accountability, and adherence to academic support best practices.
  • Facilitate weekly meetings and training sessions with tutors to review expectations, address challenges, strengthen tutoring strategies, and align support efforts with faculty instruction.
  • Serve as an active tutor and mentor as needed, providing direct academic support to students and modeling effective tutoring and peer-mentoring practices.
  • Ensure tutors maintain professional standards, uphold academic integrity, and foster a welcoming, motivating, and student-centered learning environment.
  • Coordinate and monitor tutoring appointments, recitation sessions, walk-in support hours, and supplemental instruction activities, including evening and weekend coverage as appropriate.
  • Coordinate the preparation and distribution of tutoring resources, practice materials, mock quizzes, review activities, and supplemental academic support materials in collaboration with faculty.
Tutor Program Supervision
Faculty Collaboration
  • Work collaboratively with faculty across all CSEM disciplines to ensure tutoring and recitation sessions align with current instruction, course content, and learning outcomes.
  • Coordinate the sharing of course materials, assignments, and key learning objectives between faculty and the tutoring team.
  • Support faculty in maintaining a proactive early-alert system that identifies students in need of academic intervention before struggles escalate.
  • Ensure faculty provide 2 hours per week of course-aligned recitation and 6 hours per week of office hours, as outlined in the program structure.
Program Evaluation and Reporting
  • Implement and maintain assessment strategies to evaluate the effectiveness and impact of tutoring, mentoring, and academic support initiatives on student learning, engagement, retention, and progression.
  • Collect, analyze, and report student success metrics, including tutoring utilization, course success rates, DFW rates, retention data, and student participation trends.
  • Coordinate student, tutor, and faculty feedback processes to assess program effectiveness and identify opportunities for improvement.
  • Facilitate end-of-semester reflection and evaluation meetings with tutors to review program outcomes, best practices, and areas for growth.
  • Prepare reports, summaries, and data-informed recommendations for the Department Chair, Dean, grant reporting, and institutional assessment efforts.
  • Maintain accurate records of tutoring activities, attendance, payroll documentation, session topics, and student engagement in accordance with university policies and reporting requirements.
  • Assist with the collection of student testimonials, success stories, and assessment data for institutional reporting, grant activities, and program promotion.
Part II: Administrative and Grant Support Coordination
  • Support the daily operations of CSEM academic support initiatives.
  • Serve as a primary point of contact for faculty, staff, students, and external stakeholders regarding departmental operations, academic support activities, and student success programming.
  • Coordinate college-wide events, workshops, seminars, bridge programs, tutoring initiatives, and other STEM student success activities.
  • Provide front-line customer service by responding to inquiries, directing communications, greeting visitors, and assisting students and faculty with departmental needs.
  • Coordinate scheduling, meetings, calendars, and logistical support for the Department Chair and departmental activities.
  • Prepare, edit, and maintain correspondence, reports, spreadsheets, presentations, budgets, newsletters, and other operational documents using standard office and data management software.
  • Maintain departmental records, files, operational documentation, and reporting materials in support of institutional effectiveness, audits, accreditation, and program operations.
  • Coordinate and process requisitions, procurement activities, travel documentation, and financial transactions related to departmental operations, academic support programming, and externally funded initiatives.
  • Assist faculty and administrators with grant-supported purchasing, student-support activities, program logistics, and implementation of academic and retention initiatives.
  • Track requisitions and expenditures from initiation through approval, procurement, and payment while ensuring compliance with university, sponsor, and procurement policies.
  • Maintain records and documentation associated with grants, tutoring programs, student success initiatives, and sponsored activities.
  • Assist with budget tracking and monitoring for departmental activities, student support initiatives, and grant-funded programs, including purchase cards (P-cards), reimbursements, and expenditures.
  • Coordinate travel arrangements, registrations, reimbursements, and supporting documentation for faculty, staff, students, and grant-supported activities in accordance with university policies.
  • Support data collection, operational reporting, and documentation associated with institutional, grant, and student success initiatives.

Education and Experience
Required: Bachelor’s degree in a STEM discipline, Education, or a closely related field. Minimum of three (3) years of relevant experience in academic support, tutoring coordination, administrative operations, or a related area within a higher education setting.
  • High-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), Adobe Acrobat, and other analytical tools.
  • Strong writing skills and effective organizational and planning capabilities.
  • Empathetic in interactions with students while able to uphold university policies and procedures.
  • Ability to execute tactically while understanding strategic impacts.
  • Ability to utilize leadership, advocacy, and collaboration in working with students, faculty, and staff.
  • Solid understanding of database architecture and data management systems.
