Position Summary

The Proposal Specialist supports the proposal process, development of client responses and preparing the final proposal responses for RFPs/RFIs, Questionnaires and requests for budgets for new business opportunities. This position works with SMEs and the Operations leadership teams to ensure proposal drafts are completed with scope and budgets, and may draft agreements upon bid win, providing the Legal Department with project background for draft agreement review. The Proposal Specialist files final documents into the appropriate folder area and helps to maintain internal trackers to be shared with the Commercial, Legal and Operations team leaders.


We are seeking a Proposal Specialist to support the Commercial team. This position plays a key role in supporting Sales, ensuring alignment with organizational goals, operational excellence, and compliance standards.


Key Responsibilities
  • Analyzes RFP/RFI documents to identify requirements and define the proposal strategy, timeline, and structure
  • Leads the full proposal development process, including content creation, SME and leadership coordination, review cycles, and feedback integration—and manages final versions and submission through the appropriate client or business development channels
  • Develops proposal budgets using company tools/resources, coordinates budget review meetings, secures final executive approval, and submits the approved budget in accordance with RFP/RFI and client requirements
  • Maintains proposal libraries and templates to streamline development, and conducts post-proposal reviews to capture feedback and lessons learned
  • Supports contract management by initiating draft NDAs, MSAs, SOWs, and amendments; coordinating scope development with Operations/SMEs; assisting Legal with document formatting and tracking; and maintaining accurate contract files and status updates in the Contract Tracker
  • Participates in Commercial Team meetings, provide input and support as required
Qualifications
  • Education: Bachelor’s degree in life sciences, marketing, business administration, or related field (Required)
  • Licensure/Certification: None
  • Experience:
  • 6+ years of experience in patient access support, proposal and/or contract management, client management (Required)
  • Proficiency with document management and contract management systems (Google Suite and Office 365) (Required)
  • Experience with proposal development software (Preferred)
  • Knowledge, Skills, & Abilities:
  • Knowledge of proposal development processes; budgeting, and pricing fundamentals; pharmacy and biotechnology industries; CRM technologies (Required)
  • Knowledge of contract administration principles; procurement laws, regulations, and industry standards (Preferred)
  • Excellent verbal, written, and interpersonal communication skills (Required)
  • Advanced organizational, time management, and project coordination skills (Required)
  • Advanced analytical skills and attention to details (Required)

Work Environment

  • Location: Remote
  • Schedule: 8:00 A.M. to 5:00 P.M. Monday through Friday with night and weekend hours on occasion as determined by the needs of the business.
  • Regular meetings with internal Commercial, Operations, Legal, and senior leadership teams. This role may also have limited participation in meetings with external clients and vendors.
