Join a Growing Team in the Energy Efficiency Industry

Tacoma Energy is seeking a detail-oriented and motivated Accounts Receivable & Collections Representative to join our team in Westerville, Ohio. This is a full-time, in-office position supporting some of the nation's largest home builders and HVAC contractors.

We are looking for someone who takes pride in accuracy, enjoys problem-solving, and understands the importance of building strong customer relationships while helping maintain healthy cash flow for a growing company.

About the Role

The Accounts Receivable & Collections Representative plays a critical role in ensuring accurate billing, timely collections, and excellent customer service. This position works closely with Scheduling, Operations, and Sales to ensure invoices are processed correctly, payments are collected efficiently, and customer concerns are resolved professionally.

This is an excellent opportunity for someone with accounting, billing, collections, or administrative experience who enjoys working independently while also contributing to a team-oriented environment.

Primary Responsibilities

Billing & Accounts Receivable

  • Process customer invoices accurately and timely.
  • Review completed services to ensure all work is billed correctly.
  • Verify pricing, purchase orders, contracts, and customer requirements.
  • Investigate and resolve billing discrepancies proactively.
  • Review reports and account activity to identify missing invoices or billing issues.
  • Maintain organized billing records and documentation.

Collections & Customer Account Management

  • Monitor accounts receivable aging and follow up on outstanding balances.
  • Communicate professionally with customers regarding invoice status and payment expectations.
  • Submit and track required documentation through customer portals when necessary.
  • Coordinate with internal departments to resolve payment delays and account concerns.
  • Maintain accurate records of collection efforts and customer communications.

Customer Service & Problem Resolution

  • Respond professionally to billing questions and payment disputes.
  • Work collaboratively with Operations, Scheduling, Sales, and Management to resolve issues.
  • Assist in identifying solutions that maintain strong customer relationships while protecting company interests.

Qualifications

Required

  • Previous experience in Accounts Receivable, Collections, Accounting, Bookkeeping, or related administrative roles.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • Proficiency in Microsoft Office, including Excel.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Self-motivated with strong problem-solving skills.
  • Experience with QuickBooks or similar accounting software- A MUST

Preferred

  • Experience in the construction, homebuilding, HVAC, or service industries.
  • Familiarity with customer billing portals and purchase order processes.
