Job description

Job Summary:
The Appointment Specialist works as part of the Producer Licensing Department and is responsible for working directly with insurance companies, intermediaries, general agents, and third-party administrators to set up Lockton and licensed producers to be able to submit business through them. The appointment team works to ensure compliance with our business partners in accordance with Lockton policies and procedures.
  • Reviews, prepares and collects required documentation as needed for the insurance carrier appointment with Lockton business partners.
  • Maintains appointment database, shared drive and various SharePoint or other internal sites by updating records in a timely manner and keeping records and related documents current.
  • Acts as a liaison between Lockton and the insurance carrier in completing the necessary appointment forms to ensure compliance with Lockton policies and procedures.
  • Remains current on company and department policies and procedures to ensure compliance.
  • Communicate professionally and effectively in writing or verbally with Associates, insurance carriers, wholesalers or business partners as needed to ensure online access is maintained appropriately.
  • Protects the confidentiality of business and individual information gathered for related job duties.
  • Keeps department manager updated on issues and makes recommendations to department director for resolution.
  • Remains current on department policies and procedures.

  • Ability to use general office equipment (computer, calculator, photocopier, and facsimile machine).
  • Working knowledge of Microsoft products (Word, Excel, Outlook, PowerPoint) or similar software applications.
  • Position may involve cross training on insurance licensing procedures.
  • Attends and contributes to department meetings, educational workshops, industry or trade meetings and other events or meetings as requested by department director.
  • Performs other department related duties as assigned or required for the position.
Requirements:
  • Associate Degree in Business or related field or two years of equivalent work experience in appointments, administrative work or other related work experience.
  • Must be able to effectively prioritize a heavy workload with exceptional organizational and time management skills to meet time sensitive deadlines.
  • Ability to multi-task with ability to respond and quickly refocus.
  • Strong knowledge of Microsoft Office Suite (Word, Outlook, Excel, SharePoint, and PowerPoint).
  • Ability to operate general office and computer equipment.
  • Ability to work on a computer for a prolonged amount of time.
  • Exceptional attention to detail.
  • Exceptional internet and general research skills a must.
  • Ability to work independently and as a member of a cohesive team.
  • Exceptional verbal and written communication skills are a must.
  • Ability to multi-task in a fast-paced environment.
  • Interpersonal skills to build and maintain effective relationships with internal and external customers.
  • Must have the ability to resolve issues in a creative and diplomatic manner.
  • Able to work with all levels of the Lockton organization and external clients.
  • Able to communicate professionally with internal and external clients, vendors, or business partners in both one-on-one and group situations, develop strong working relationships and represent Lockton in the highest professional manner.
  • Must comply with all company policies and procedures and to proactively protect the personal and confidential information of Associates, clients, and Lockton agencies.
  • Ability to make decisions in compliance with established company standards of quality performance and service.
  • Ability to be a team player, share responsibilities, seek guidance and assistance from other team members as needed.
