Job Summary: The Legal On-Site Services Specialist provides operational support within a legal office environment, including mail processing, document production, scanning, copying, shipping/receiving, and records management. This role is responsible for handling confidential legal documents, operating high-volume office equipment, supporting legal professionals, and ensuring timely completion of document-related projects. The position requires strong customer service skills, attention to detail, technical aptitude, and the ability to work effectively in a fast-paced legal setting. Key Responsibilities: Operate high-volume copy, print, scanning, and mail processing equipment Perform document duplication, binding, finishing, and quality control tasks Handle highly sensitive and confidential legal documents with accuracy and discretion Operate document imaging systems and image handling software Process incoming and outgoing mail, faxes, and shipments Apply postage and coordinate shipping and receiving activities Perform copier maintenance, clear paper jams, and report equipment issues Maintain records, billing logs, service logs, and inventory reports Distribute office supplies, mail, and completed documents to designated locations Respond to customer requests and coordinate service-related activities Perform filing, document archiving, file conversion, and file naming activities Conduct OCR (Optical Character Recognition) processing and document formatting Perform FTP file transfers and manage electronic document files Manage Table of Contents (TOC) pages for electronic legal files Assist with off-site document production and project coordination Maintain copy center equipment and supply areas in an organized condition Support legal secretaries, paralegals, associates, project managers, and partners Complete projects accurately while meeting strict deadlines Perform additional administrative and operational duties as assigned Required Skills: Experience operating high-volume copy, print, and scanning equipment Knowledge of mail processing, shipping, and receiving procedures Proficiency in Microsoft Office Suite Experience with document imaging and file management systems Strong customer service and communication skills Ability to handle confidential legal documents Knowledge of OCR processing and electronic file management Strong organizational and multitasking abilities Troubleshooting and problem-solving skills Ability to work independently and manage priorities effectively Strong attention to detail and accuracy Excellent verbal and written communication skills Preferred Skills: Previous copy center or document production experience Basic electronics knowledge Experience with FTP file transfers and document formatting Familiarity with legal office workflows and document management systems Education: High School Diploma, GED, or equivalent work experience required Completion of Ricoh Legal Training within 90 days of hire Education: High School
