JOB SUMMARY
This role is responsible for managing assigned domestic and international customer orders, ensuring accurate and timely transaction execution. Responsibilities include order entry, logistics coordination, maintaining processes, approving invoices, issuing credits, and building product knowledge to support customer inquiries and sales. The position requires developing strong working relationships with internal departments and external customers to resolve discrepancies and ensure customer satisfaction. Occasional project work and support for the sales team are also expected.
Key Responsibilities
• Manage assigned domestic and international customers to execute error-free transactions.
• Receive, validate, and enter customer orders accurately and timely using PeopleSoft and SAP order management systems.
• For export or offshore-sourced orders, manage logistics components using 'Origin Manager', including creating templates, referencing routing guides, requesting quotes, and creating bookings.
• Maintain and create new processes for global Customer Service locations.
• Create and maintain ePOs for third-party vendors, ensuring proper approvals.
• Approve all 'sold through' Client invoices and review for accuracy.
• Follow specific processes for orders shipping to designated locations, adhering to customs regulations.
• Assist other global Customer Service groups as needed.
• Create and issue credits/rebates for issues and update the RMA system.
• Build product and pricing knowledge to support RFQ and quote generation.
• Monitor open order and shipment reports to ensure adherence to customer Requested Ship Dates and company Promise Dates, taking proactive action when deviations occur.
• Track shipments to ensure timely delivery and implement corrective actions as necessary.
• Create and maintain customer profiles and buying agreements in COF and Corporate PeopleSoft systems, interacting with Commercial Ops to ensure data currency.
• Ensure Op to Commerce® Fiber Data Delivery (FDD) is available for all required customer shipments.
• Respond to customer inquiries regarding orders, FDD, and general product information within 24 hours.
• Build technical product knowledge to respond to inquiries and recommend appropriate fiber products based on customer requirements.
• Develop and maintain effective working relationships with Planning, Shipping, QA, IT, Finance, Commercial Ops, Corporate Transportation, Corporate Credit, Customer Billing, Freight Forwarders, and external customers.
• Collaborate with customers and Commercial Ops to resolve customer payment discrepancies.
• Undertake project work and participate on business teams as required.
• Support the sales team with various analysis and reports.
Required Qualifications
• Associate degree or similar relevant work experience.
• 2+ years of experience in Customer Service / Corporate environment.
• Exceptional attention to detail in all aspects of work.
• Effective task prioritization with the ability to multi-task.
• Strong team skills and ability to work in a highly dynamic environment.
• Outstanding verbal and/or written communication skills with the ability to express ideas clearly and precisely.
• Passionate about quality and customer focus.
• Strong organizational skills and solid problem-solving abilities.
• Proficient people skills.
• Proficient in Microsoft programs such as Outlook, Teams, Word, & SharePoint.
Preferred Qualifications
• Knowledge of PeopleSoft and SAP order fulfillment systems.
• Knowledge of Optical Fiber’s processes and related corporate processes.
• Proactively and positively supports change and can lead change when required.
• Motivated team player and works effectively in a close-knit team.
• Ability to manage and prioritize multiple tasks/projects.
• Proficient in Excel.
