Maritime Sales Support Administrator

What we’re looking for

We're looking for a motivated and organized professional to provide high-quality administrative support across the Commercial business stream. Someone who’ll help ensure consistent application of commercial processes, support a positive client experience, and enable Maritime Sales colleagues to focus on customer-facing activities by managing administrative tasks and client support, while contributing to the smooth running of day-to-day business operations.

Fixed-term Contract

The role

  • Provide commercial and administrative support to the Maritime Sales team, including client interactions that support the sales process and enhance the customer experience.
  • Coordinate meetings, workshops, executive visits, and internal/external events, including logistics and stakeholder coordination.
  • Support the planning and execution of LR and industry events in collaboration with the Marketing team.
  • Monitor tender requests and maintain client portal registrations, working closely with the Bid & Contracts team to ensure timely bid/no-bid responses.
  • Support finance administration, including invoice processing and the resolution of pre- and post-invoice queries.
  • Manage invoice-related queries end-to-end, including analysis, stakeholder coordination, client communication, and adherence to escalation and approval processes.
  • Resolve contractual setup, VAT/tax code, and other invoice configuration queries, liaising with clients, internal stakeholders, and external tax advisors where required.
  • Review and support the resolution of Service Order (SVO) queries.
  • Ensure documentation, data, and administrative activities are completed accurately and in line with business processes, contractual requirements, and agreed deadlines.
  • Prepare and present reports, management information, and process insights to support operational performance and continuous improvement.
  • Identify opportunities to improve administrative processes and support the implementation of process enhancements.
  • Ensure compliance with internal procedures, commercial processes, and contractual obligations.

What you bring

  • Fluent written and spoken English (and local language, as applicable) with ability to liaise effectively with internal and external personnel. 
  • Use own initiative able to prioritise and work on multiple tasks whilst adhering to tight deadlines. 
  • Capable of taking initiative, prioritizing effectively, and managing several tasks while meeting strict deadlines. 
  • Able to adjust and well organized with a practical minded approach 
  • High degree of accuracy. 
  • Capable of collaborating effectively within a team to help meet departmental and business goals. 
  • Computer literate in MS Office.
