Description

The Fleet Maintenance Coordinator oversees the scheduling, tracking, and execution of maintenance and repair activities for company vehicles and equipment. This role ensures fleet readiness, regulatory compliance, and cost-effective maintenance operations by coordinating with mechanics, vendors, and internal departments. The ideal candidate is detail-oriented, organized, and skilled at managing multiple priorities in a fast-paced environment.

Requirements

  • Coordinate and schedule preventive maintenance, inspections, and repairs for all fleet vehicles and equipment.
  • Track and manage work orders, ensuring completion within established timelines.
  • Maintain accurate maintenance records, service logs, and compliance documentation.
  • Communicate with external vendors, repair shops, and parts suppliers to obtain quotes, authorize work, and ensure timely service.
  • Assist with fleet asset management, warranty tracking, lifecycle planning, etc.
  • Prepare routine reports on fleet status, maintenance costs, and operational performance.

Qualifications

  • Associate degree in logistics, automotive technology, or related field preferred.
  •  2+ years of experience in fleet maintenance coordination, transportation, logistics, or related operations.
  • Working knowledge of vehicle systems, maintenance practices, and repair processes.
  • Familiarity with DOT regulations and fleet compliance requirements.
  • Proficiency with fleet management software, maintenance tracking systems, and Microsoft Office.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent communication and customer-service skills.
  • Ability to analyze data, identify issues, and recommend solutions.

Preferred Skills

  • Experience with telematics platforms (e.g., Samsara, Zonar).
  • Background in commercial vehicle maintenance or repair environments.
  • Knowledge of parts ordering, inventory management, or vendor negotiation.

Work Environment

  • Office-based role with regular interaction in shop or yard environments.
  • May require occasional travel to vendor locations or fleet sites.
  • Ability to lift up to 25 lbs and perform basic vehicle inspections as needed.
