Description:

The Outreach Coordinator effectively utilizes organizational, communication, and collaboration skills to assist and support the Outreach Team with administrative tasks and basic project management.

Primary Responsibilities

Outreach Director Support

  • Calendar Management
  • Scheduling appointments, meetings, and events for the Outreach Director.
  • Reminding the Outreach Director of upcoming commitments and deadlines.
  • Assisting the Outreach Director in managing their daily schedule and prioritizing tasks.
  • Communication Management
  • Handling phone calls, emails, and other forms of communication on behalf of the Outreach Director.
  • Maintaining an organized system for incoming and outgoing correspondence.
  • Meeting Support
  • Coordinating and scheduling meetings for the Outreach Director.
  • Taking minutes during meetings and distributing them as necessary.
  • Research and Preparation
  • Conducting research and gathering information as requested by the Outreach Director.
  • Assisting in the preparation of documents, communication, or other materials.
  • Project Management
  • Leading assigned projects as assigned by the Outreach Director.
  • Coordinating/collaborating with other Pantano ministries and partners during planning, execution, and after action review processes.
  • Reporting project status to Outreach Director and Pantano executive leadership as required.
  • Other Duties as assigned, including:
  • Planning and booking travel arrangements for the Outreach Director, including flights, accommodations, and transportation.
  • Managing office supplies and ordering new ones as needed.
  • Travel as required in support of assigned projects.

Team Support

  • Attend team meetings, take notes, and do follow-ups
  • Receive, process, and follow up on Outreach requests 
  • Provide weekly service support on campus (Thursdays and Sundays)
  • Coordinate details for events hosted by the team following the event planning process
  • Provide support during events hosted by the team
  • Create or coordinate details for communication requests for materials for advertisement and informational purposes for programs, services, and content
  • Manage volunteer process for assigned teams
  • Manage room and resource reservations for the team
  • Prepare purchase orders and check request forms as requested
  • Prep materials, set up and man tables, decorate and connect with leaders for weekend events
  • Track and request financial reports, ministry reports, and prayer requests from partners and advocates

Other Duties

  • Attend weekly 1:1, team and staff meetings
  • Adhere to all church policies and procedures 
  • Work assigned duties during “All Hands On Deck” events such as Christmas and Easter services
  • Help form and maintain connections with community and global partners
  • Other duties as assigned
Requirements:
  • Actively involved at Pantano Christian Church
  • Excellent verbal and written communication skills
  • Ability to work productively without direct supervision
  • Ability to work well and collaborate with team members, volunteers, and other staff
  • Excellent office-related computer skills, including experience with common office software/programs and online applications
  • Proficiency in online communication, email, and calendar tools
  • Experience with Mac and macOS a plus
  • Experience with Google Drive a plus
  • Experience with Canva and database software a plus
  • Experience with Microsoft Office Word and Excel a plus
