We are seeking a driven individual who is eager to learn, contribute, and grow within a fast-paced hospitality-focused property organization. As part of Troon, you'll contribute to a global leader in golf and community management.
SUMMARY
The Senior Event Executive is a strategic leader responsible for overseeing the Event Sales and Planning Department while serving as the primary liaison between Sales, Event Operations, Food & Beverage, Rooms Operations, and Resort Leadership. Reporting directly to the Director of Sales & Marketing, this position drives event revenue, service excellence, operational execution, and client satisfaction across weddings, social events, corporate meetings, retreats, and special events.
The Senior Event Executive leads the event planning team, mentors and develops event professionals, and ensures seamless communication between departments. This role is responsible for managing the resort's most complex and high-profile events while elevating overall planning standards, client experiences, and operational efficiencies.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Leadership & Department Management
  • Lead, mentor, and develop the Event Sales and Planning team.
  • Establish and maintain department standards, procedures, and service expectations.
  • Foster a culture of hospitality, accountability, collaboration, and continuous improvement.
  • Conduct regular coaching, training, and performance reviews for team members.
  • Partner with the Director of Sales & Marketing to develop departmental goals, strategies, and revenue initiatives.
  • Drive innovation and elevate the overall event planning experience for clients and guests.

Event Sales & Client Management
  • Manage and sell the resort's most complex, high-value, and strategic events.
  • Lead wedding sales efforts and serve as the primary contact for luxury wedding clients.
  • Develop proposals, contracts, and customized event solutions.
  • Build strong client relationships throughout the sales and planning process.
  • Identify opportunities to maximize revenue through enhancements, upgrades, and creative event solutions.
  • Assist the sales team with complex negotiations and event strategy.

Event Planning & Logistics
  • Oversee all aspects of event planning from contract execution through event completion.
  • Serve as a strategic problem solver for complex event logistics and operational challenges.
  • Coordinate with resort departments to ensure seamless execution of all event details.
  • Ensure client expectations are met and exceeded through proactive communication and planning.
  • Manage VIP events, high-profile clients, and large-scale resort functions.
  • Provide guidance and support to Event Managers throughout the planning process.

Banquet Event Orders (BEOs) & Documentation
  • Create detailed and accurate Banquet Event Orders (BEOs) for assigned events.
  • Review team-generated BEOs for accuracy, completeness, profitability, and operational readiness.
  • Ensure event documentation aligns with client expectations and operational capabilities.
  • Maintain department standards for contracts, event orders, resumes, timelines, and planning documents.
  • Identify opportunities to improve planning processes and documentation workflows.

Cross-Department Collaboration
  • Serve as the primary liaison between Event Sales, Event Planning, Sales, Food & Beverage, Culinary, Golf, Spa, Front Office, Housekeeping, and Resort Operations.
  • Facilitate communication between commercial and operational teams to ensure event success.
  • Partner with Revenue Management and Resort Leadership to maximize event profitability and guest satisfaction.
  • Support group transitions from Sales Managers to Event Managers to ensure a seamless client experience.

Meetings & Operational Leadership
  • Lead and facilitate weekly Banquet Event Order (BEO) Meetings.
  • Lead and facilitate Group Resume Meetings.
  • Participate in operational meetings to communicate upcoming events, changes, and priorities.
  • Ensure all departments are informed and prepared for event execution.
  • Act as the primary event planning representative within the resort leadership structure.

QUALIFICATIONS
Required
  • Minimum 5 years of event planning, event sales, wedding sales, or hospitality leadership experience.
  • Minimum 2 years of supervisory or management experience.
  • Proven experience managing large-scale weddings, corporate meetings, luxury events, and social functions.
  • Strong understanding of banquet operations, food and beverage service, and event logistics
  • Exceptional organizational, communication, and leadership skills.
  • Ability to manage multiple projects simultaneously while maintaining attention to detail.
  • Experience creating and reviewing Banquet Event Orders and event documentation.

Preferred
  • Luxury resort or destination event experience.
  • Experience leading event planning teams.
  • Knowledge of revenue management and event profitability strategies.
  • Experience with golf resort, wellness resort, or luxury hospitality operations.
  • Advanced knowledge of Ivvy or similar event management systems.
