About the role

The Facilities Warranty Manager plays a pivotal role in overseeing and coordinating warranty-related activities for equipment, buildings and other assets. This position supports the Facilities Department working within a cross-functional role with Construction & NSO's to ensure the successful execution of initiatives, projects and maintenance tasks.

This role manages key functions within the department, focusing on the setup and administration of the Computerized Maintenance Management System (CMMS) for warranty's, asset management, and vendor compliance.

The Facilities Warranty manager will develop expertise through continuous on the job training, enabling them to provide essential administrative oversight and support for all warranty processes and systems. This role is integral to maintaining smooth operations and ensuring all warranty and maintenance activities are efficiently managed and executed.

Key Responsibilities

  • CMMS Administration: Oversee the setup, management, and improvement of the CMMS (Service Channel), ensuring efficient system functionality and compliance for warranty.
  • Warranty Management: Oversee and manage all warranty processes for equipment, buildings, and mechanical systems, ensuring timely and effective resolution of warranty claims. Maintain a comprehensive database of all warranties, including expiration dates, terms, and conditions, to endure proactive management and renewal where necessary. Serve as the primary point of contract for warranty related issues, liaising with vendors, contractors, and internal teams to address any concerns.
  • Equipment and Systems: Monitor the performance and condition of equipment and mechanical systems to identify potential warranty claims. Coordinate inspections and assessments to validate warranty coverage and ensure compliance with warranty terms. Work closely with warranty vendors to schedule repairs and replacements under warranty, minimizing downtime and ensuring operational efficiency.
  • Building Warranty Coordination: Manage warranties related to building construction, renovations, and structural components, ensuring all claims are processed in accordance with contractual obligations. Collaborate with contractors and developers to address any issues covered under building warranties, ensuring timely resolution and adherence to quality standards.
  • Vendor and Contractor Relations: Establish and maintain strong relationships with vendors and contractors to facilitate efficient warranty service and support. Negotiate warranty terms and service agreements to secure favorable conditions for the organization. Ensure vendors comply with warranty provisions, including prompt service and adherence to agreed upon standards.
  • Data Management & Reporting: Utilize the Computerized Maintenance Management Systems (CMMS) to track warranty claims, service requests, and maintenance activities. Generate reports on warranty performance, highlighting trends, issues, and areas for improvement. Provide regular updates to senior management on warranty status, including cost savings achieved through warranty management.
  • Training and Development: Conduct training sessions for OPS on warranty processes, ensuring they are informed about the terms and conditions of warranties and how to manage claims. Stay updated on industry best practices and warranty management trends, incorporating new strategies to enhance efficiency and effectiveness.
  • Budgeting and Cost Control: Assist in budgeting preparation by forecasting warranty related costs and identifying potential savings through proactive warranty management. Monitor and control warranty expenses, ensuring they align with the overall facilities budget and financial goals.
  • Cross-Departmental Collaboration: Partner with construction, NSO, IT, Accounting, and other departments for system-wide updates, project tracking, and data management related to ongoing and special projects.
  • Compliance & Risk Management: Ensure all warranty related activities comply with legal and regulatory requirements. Identify potential risks associated with warranties and implement strategies to mitigate them, protecting the organizations' assists and interests.

The experience you have

  • Experience: Minimum 3 years of facilities management, warranty administration, or a related field with a strong focus on equipment, building and mechanical systems. Proven experience in managing warranties, vendor relations, and coordinating maintenance across multiple sites.
  • Technical Skills: Proficient in CMMS, Microsoft Office, Excel & Power Point. High level of attention to detail to ensure all warranty claims are accurately documented, tracked, and processed.
  • Strengths: Strong organizational, analytical and multitasking abilities with the ability to prioritize and delegate tasks effectively in a fast-paced environment. Ability to work effectively as part of a cross functional team, collaborating with the facilities, construction & NSO departments to achieve common goals.
  • Communication: Excellent verbal and written communication skills to interact with internal teams, vendors and contractors.
  • Physical Requirements: Ability to lift up to 25 lbs. frequently and occasionally up to 100 lbs.
  • Travel: Travel required, both by car and plane.

Base Salary: $128,000 - $135,500 per year.

Wonder uses geographic-specific salary structures, which means the salary offered may vary depending on where the job is located. The final salary offer will take into account various factors, such as the candidate's skills, education, training, credentials, and experience.
