Job description

Job Title: Direct Mail Project CoordinatorJob Description
This role coordinates direct mail projects from initial concept through final production, ensuring high-quality, accurate, and timely delivery. You will work closely with writers, creative teams, production partners, and internal stakeholders to manage project details, maintain workflow systems, and support consistent, professional communication throughout the process.
Responsibilities
  • Coordinate direct mail projects from concept through production, ensuring all deliverables meet quality and schedule expectations.
  • Receive basic layouts and packages from writers and creative teams and prepare them for production.
  • Review and interpret client and production specifications to ensure all materials align with requirements.
  • Enter and maintain accurate project information in workflow systems to support tracking and reporting.
  • Convert materials into InDesign format or similar tools as needed to prepare files for production.
  • Proofread content and layouts to identify and correct errors in spelling, grammar, formatting, and layout consistency.
  • Perform quality checks on all content and layouts before production to ensure accuracy and completeness.
  • Coordinate with mail shops and external vendors to manage production, mailing logistics, and deliverables.
  • Communicate project data, status updates, and production requirements clearly and regularly to internal and external stakeholders.
  • Track project timelines, monitor milestones, and proactively address issues to ensure on-time delivery.
  • Manage logistics throughout the production process, including file transfers, approvals, and scheduling.
  • Collaborate with cross-functional teams to support smooth project execution and continuous process improvement.
Essential Skills
  • 6 to 12 months of proofreading experience, with strong attention to detail and accuracy.
  • Experience using InDesign or a closely related design or layout software.
  • Project coordination skills, including organizing tasks, managing timelines, and tracking deliverables.
  • Data entry skills with a focus on accuracy and consistency in workflow or project management systems.
  • Strong written communication skills for clear, concise, and professional project updates.
  • Strong verbal communication skills to interact effectively with internal and external clients.
  • Ability to work with creative teams, production partners, and vendors to move projects from concept to completion.
Additional Skills & Qualifications
  • At least 6 months of proofreading experience in a professional or similar environment.
  • Familiarity with direct mail production processes and terminology.
