Virtual Admin - Painting Company (REQUIRED - DripJobs Experience)

The Virtual Admin/Customer Service Representative ("CSR") is the first voice a client hears, and often the reason they choose us over the next painter who called them back a day late. You will answer inbound calls, follow up on every lead and estimate, book estimates onto the right estimator’s calendar, and keep the DripJobs pipeline clean and current so nothing slips.

This is not an order-taking job. You are responsible for converting inquiries into booked appointments and for keeping our pipeline honest — no stale deals, no missing notes, no leads sitting untouched.

This position is virtual with flexible hours, but you must be available and follow up on inbound leads and calls during business hours (Mountain Time - Denver, CO). You do not need to be sitting in front of a computer all day.

Compensation:

$18 - $20 hourly


Responsibilities:
  • Own first response. Answer inbound calls, web form submissions, texts, and emails promptly and professionally during business hours.

  • Book the estimate. Schedule estimate appointments in DripJobs, coordinating estimator availability, drive time, and territory (Denver, Boulder, Front Range).

  • Manage the pipeline. Keep every deal in DripJobs accurate and moving — correct stage, complete contact and job details, logged notes, and scheduled next actions.

  • Follow up relentlessly. Work the follow-up sequences on new, warm, and aging leads until they book, decline, or go cold on a documented timeline.

  • Confirm and reduce no-shows. Send appointment reminders, confirm the day before, and reschedule no-shows and cancellations same day.

  • Support customers after the sale. Handle scheduling questions, job status updates, and general customer concerns with warmth and clarity; escalate the right issues to the right person quickly.

  • Hit your scorecard. Track and report weekly numbers — calls answered, speed to lead, appointments set, set rate, and follow-up completion — in our EOS Weekly Scorecard.

  • Work the system. Follow documented SOPs, flag what isn’t working, and help improve the process.


Qualifications:
  • DripJobs experience is a hard requirement. Applications without hands-on DripJobs experience will not be considered — please do not apply if you have only used other CRMs.

  • Demonstrated hands-on experience working in DripJobs — creating and updating deals, moving stages, scheduling appointments, and running follow-up automations.

  • 2+ years in customer service, inside sales, call center, dispatch, or appointment setting.

  • Proven experience scheduling appointments across multiple field team members’ calendars.

  • Proven experience managing a sales pipeline — you know what a stale deal looks like and you clear it.

  • Exceptional organization and follow-through; you track your own commitments, and nothing falls through the cracks.

  • Excellent verbal and written English communication; clear, friendly, professional phone presence.

  • Reliable high-speed internet, a quiet, distraction-free workspace, a headset, and a computer capable of running web applications smoothly.

  • Availability during Mountain Time business hours (Denver, CO).
