Job Title: Legal Administrative Assistant - Litigation
Industry: Legal Services
Location (city, state): Minneapolis, Minnesota
Assignment Type: Direct Hire
Pay: $80,000 - $90,000 / YEAR
Work Schedule: Hybrid (3 days onsite), Monday through Friday, 8:30 a.m.-5:00 p.m., with a one-hour lunch. This is a 37.5-hour workweek.

Job Description:
The Legal Administrative Assistant will support a busy practice. This position will provide comprehensive litigation and administrative support to a team of up to seven attorneys, including several partners.
The ideal candidate will bring prior litigation experience, strong technical abilities, and the confidence to navigate multiple legal systems and deadlines. State court litigation experience is required, while federal court experience is highly preferred. The team is willing to provide training on firm-specific systems for someone who is adaptable, dependable, and eager to learn.
Key Responsibilities:
  • Prepare, revise, format, proofread, and finalize legal documents, correspondence, pleadings, motions, briefs, memoranda, tables of authorities, and tables of contents.
  • Complete electronic filings with state and federal courts while monitoring formatting rules, procedural requirements, and submission deadlines.
  • Maintain litigation calendars and track court dates, filing deadlines, hearings, depositions, and other case-related milestones.
  • Organize and maintain electronic client and matter files within the firm's document-management platform.
  • Assist with subpoenas, witness binders, document productions, labeling, and other litigation-support materials.
  • Coordinate meetings, depositions, conference calls, virtual meetings, conference rooms, and related calendar invitations.
  • Communicate professionally with clients, outside counsel, courts, vendors, and internal team members.
  • Support the opening of new clients and matters, including conflicts research, engagement documentation, budgets, and related forms.
  • Enter attorney time, assist with expense reimbursements, review billing information, and help research outstanding invoices when needed.
  • Maintain contact lists, prepare labels, and coordinate mailings and other case-related correspondence.
  • Monitor the status of assignments and delegated work to ensure projects are completed accurately and on time.
  • Provide overflow and backup support to other legal professionals and practice groups as needed.
  • Assist with select paralegal-level tasks based on experience and business needs.
  • Identify opportunities to improve processes, organization, and overall team efficiency.

Qualifications:
  • At least five years of administrative experience within a law firm or professional-services environment.
  • Previous litigation experience is required, including familiarity with state court procedures; federal court experience is a strong plus.
  • Experience with electronic filing, docketing, subpoenas, witness binders, document production, and litigation deadline management.
  • Proficiency with Microsoft Office and Adobe Acrobat.
  • Experience using litigation-calendaring software; experience with Milana is helpful but not required.
  • Familiarity with document-management, time-entry, billing, or matter-opening platforms such as iManage, Intapp, or similar systems is preferred.
  • Prior exposure to paralegal responsibilities is a plus.
  • High school diploma required; an associate's or bachelor's degree is preferred.
  • Strong proofreading, written communication, and verbal communication skills.
  • Excellent organization, prioritization, time-management, and follow-through.
  • Ability to manage competing requests from several attorneys while maintaining accuracy and confidentiality.
  • Strong technology aptitude and the ability to learn unfamiliar systems quickly.
  • Stable employment history is strongly preferred; relevant contract assignments will be considered when the reasons for each transition are clearly explained.
  • Willingness to work occasional overtime when business needs require it.
