Job description

Are you an experienced Administrative Assistant who enjoys keeping projects organized, coordinating moving pieces, and helping teams stay on track? We're looking for a skilled professional who can step in quickly and provide critical support during a major department initiative at a large University in Minneapolis.
 
This is an excellent opportunity to join a collaborative team, contribute to an important project, and make an immediate impact from day one!
 
Pay: $28 to $31 per hour
100% On Site, located in Minneapolis, MN
Full time, 8am-4:30pm, Monday-Friday
Temporary assignment lasting approximately 1 to 3 Months
 
What You'll Be Doing
 
  • Administrative and coordination tasks supporting the launch of a new software system at the university
  • Scheduling and coordinating Zoom webinars, meetings, and training sessions
  • Moderating Zoom webinars and supporting virtual training events
  • Taking detailed notes during meetings, webinars, and training sessions
  • Managing Zoom recordings and related materials
  • Providing support during in person training sessions
  • Creating and maintaining FAQ documents and reference materials
  • Compiling, organizing, and distributing information using Google Docs and Google Sheets
  • Translating complex discussions into concise summaries, meeting minutes, and action items
  • Assisting with training logistics and participant communications
  • Supporting the development of user guides and how to documentation leading up to the system launch

  • Experience supporting multiple leaders, teams, or projects simultaneously

  • Comfort with the nature of the department and its role in supporting animal research
 
Required Qualifications
  • Exceptional proficiency with Google Workspace, including Gmail, Google Calendar, Google Drive, Google Docs, Google Sheets, and Google Chat
  • Strong Zoom experience, including scheduling, hosting, moderating, and managing recordings
  • Administrative support experience in a professional environment
  • Experience organizing and presenting information in a clear and easily understandable format
  • Strong documentation, note taking, and meeting coordination skills
