Job Description:
At Job Duck, we are seeking a dedicated and versatile Law Firm Virtual Assistant who thrives in a fast-paced, client-facing environment and enjoys wearing multiple hats. In this role, you will play a key part in supporting daily legal operations by managing intake, coordinating communications, and ensuring cases and schedules remain organized and efficient. You will interact directly with clients, helping create a smooth and professional experience from the first point of contact through ongoing case updates. This position is ideal for someone who is proactive, detail-oriented, and genuinely enjoys helping others while maintaining high standards of organization and accuracy. Your contributions will directly support a growing legal practice and help drive meaningful results.
• Monthly Compensation Range: From 1,142 to 1,220 USD
Responsibilities include, but are not limited to:
  • Maintain organized digital filing systems and records
  • Collaborate with the legal team to ensure timely case progression
  • Support general administrative tasks to ensure smooth day-to-day operations
  • Assist with e-filing and document submission processes
  • Coordinate calendaring, scheduling, and appointment management
  • Answer and direct phone calls while providing a professional and empathetic client experience
  • Manage client intake by handling initial inquiries, vetting callers, and gathering relevant case information
  • Maintain and update case files, ensuring all documentation is accurate and accessible
  • Draft, edit, and organize legal and administrative documents

Requirements:
• 1-2 years of experience in legal support, administrative assistance, or client-facing roles inside a law firm
• Clear and professional verbal and written communication skills in English
• Strong interpersonal skills with the ability to provide excellent customer service and build rapport with clients
• Highly organized with strong attention to detail and ability to manage multiple priorities effectively
• Proactive and self-motivated, with the ability to take initiative and work independently
• Reliable and committed to long-term professional growth
• Comfortable handling phone calls daily in a client-facing capacity
• Ability to maintain confidentiality and handle sensitive information with discretion
• Adaptability and willingness to support both administrative and legal functions
• Strong time management skills and ability to meet deadlines consistently
• Location and timezone: Remote, Eastern Standard Time (EST)
• Working Hours: Monday to Friday
• Expected call volume: Moderate (6-15 calls per day - may vary but won't be too high)
