About the Role
360 PT & Wellness is physical therapy and wellness practice serving the Dallas/North Texas area, specializing in pelvic health physical therapy, orthopedic physical therapy, and wellness services including functional medicine and regenerative therapy services.  We're growing fast and are looking for a detail-oriented, punctual, proactive Operations Assistant to keep our business running smoothly behind the scenes.

This is an in-person role that touches nearly every part of the business — from patient scheduling and insurance verification to marketing execution and client follow-up. If you love systems, are attentive to detail, organized, are functional, have excellent customer service skills, thrive on variety, and want to be a true right hand to a growing practice owner, this role is for you.

What You'll Own:
Patient Operations & Scheduling:
  • Schedule and manage patient appointments across our service area.
  • Verify insurance eligibility and benefits for incoming patients.
  • Fax plans of care and handle associated clinical admin tasks.
  • Follow up with current and past clients to support continuity of care.
  • Send birthday cards and other touchpoints to maintain client relationships.
Sales & Lead Development:
  • Act as a Sales Development Representative (SDR): follow up on warm, cold, and lapsed leads.
  • Manage and respond to inbound inquiries from Instagram, Facebook, the website, and Stan Store.
  • Support workshop enrollment and coordinate logistics for live events.
Marketing & Content Operations:
  • Run and manage paid ads (Instagram/Facebook) - setup, monitoring, and reporting.
  • Deliver marketing materials to local referring partners.
  • Execute weekly email marketing campaigns using GoHighLevel (GHL).
  • Send newsletters and maintain the subscriber list.
  • Build and update funnels and landing pages in GoHighLevel.
  • Assist with setting up and promoting workshops and digital product launches.
  • Create graphic design assets including social media, marketing materials, and promotions.
  • Record and edit video content optimized for social media platforms (Instagram Reels, etc.).

What We're Looking For:
  • 1-3 years of experience in operations, admin, or virtual assistant work - healthcare or wellness background a plus.
  • Comfortable working independently and managing multiple priorities without being micromanaged.
  • Experience with GoHighLevel (GHL) or similar CRM/marketing platforms strongly preferred.
  • Familiar with Instagram for business, Meta Ads Manager, or willing to learn quickly.
  • Excellent written and verbal communication - you will represent the brand in emails, DMs, and client follow-ups.
  • Highly organized, deadline-driven, extreme attention-to-detail, and responsive during business hours.
  • Comfortable with insurance verification processes (healthcare admin experience a plus).
  • Spanish-speaking (a plus).

Schedule & Expectations:
  • This is a part-time to full-time role, depending on fit and availability.
  • Primary working hours are during normal business hours - after-hours emergency coverage as needed.
  • This is an in-person role based in Plano, TX.
