General Description
The position is responsible for performing a diverse range of accounting, technical, and administrative duties in a detail oriented environment in support of Finance departments. The Assistant to the Vice President for Finance will provide comprehensive administrative support to the Vice President for Finance and all other departments within the Finance division. Essential administrative support functions include but not limited to managing the oversight of Finance college policies, assisting the Vice President in day-to-day administrative tasks, providing organizational , administrative and technical support of a varying nature by performing a broad range of projects and assignments.

Associate Degree
Minimum (2) years' full-time work experience in an administrative office position
Equivalency/Substitution: Will accept (2) years' full-time related work experience in lieu of a degree for a total of (4) years' of related experience.

Job Duties (Duties Assignment Statement)
Manage the office of the Vice President for Finance by coordinating the organizational, administrative, and technical processes of a varying nature for the Vice President by performing a broad range of projects and assignments.
Schedule, manage and coordinate the day-to-day activities, and meetings for the Vice President including scheduling, preparing agendas, and taking minutes as appropriate.
Coordinate the collection of data and preparation of reports for Vice President for Finance and Finance department.
Act as a backup for Purchasing during peak times or as needed.
Assist with the monthly P-Card reconciliation and processing, ensuring timely, accurate documentation and compliance with organizational policies and procedures.
Manage the compliance and approval of travel vouchers submitted for payment.
Process informational reports using using appropriate Microsoft Office software, Ellucian Colleague, independently or with limited instruction, and make appropriate distribution.
Draft bi-weekly department reports for submission to the President's office.
Prepare and distribute monthly board meeting agenda items.
Track and organize all contracts to be paid by Finance.
Maintain and update contact lists for internal and external stakeholders.
Coordinate and manage special projects as assigned by the Vice President for Finance.
Support Finance teams in achieving departmental goals and objectives.
Responsible for the management of retention periods for financial documents and ensuring documentation are updated annually for timely maintenance and disposal.
Process requisitions and maintain budget for all Finance purchases and services.
Facilitate effective communication between the Vice President for Finance and other departments within the college
Coordinate training and meeting logistics by scheduling rooms in Astra and distributing Outlook invitations and communications to participants.
Support payroll administration by facilitating identity verification for direct deposit updates and delivering completed documentation to Payroll.
Assist with year-end and project-based Finance/Payroll activities, including W-2 preparation, document handling, and departmental support tasks.
Submit and track Fresh Service tickets for building, maintenance, and operational needs as necessary.
Provide administrative support to Finance and as a backup for HR front desk operations, including phone coverage, scheduling, and coordination of departmental activities.
Other duties as assigned.
