Job Summary
The Receptionist is responsible for creating an excellent first impression for clients, prospective clients, vendors, and other visitors by providing a warm, professional, and organized front-office experience. This role answers incoming calls promptly and courteously, directs callers appropriately, greets visitors, supports client meeting logistics, assists with mailings and deliveries, and contributes to the smooth day-to-day operation and appearance of the office.
The ideal candidate is friendly, professional, organized, dependable, and comfortable interacting with clients and team members in person and by phone. This position requires strong communication skills, attention to detail, sound judgment, a client-first mindset, and the ability to manage routine administrative tasks efficiently while maintaining confidentiality and professionalism.
 
Essential Duties and Responsibilities
Reception and Client Experience
·       Answer incoming calls in a professional and courteous manner, screening and routing calls to the appropriate team member.
·       Greet clients, prospective clients, vendors, and visitors with a positive, helpful attitude.
·       Respond to routine inquiries within role capacity and provide general information when appropriate.
·       Ensure clients and visitors are welcomed and directed appropriately upon arrival.
·       Help maintain a professional, organized, and welcoming front-office environment.
Administrative and Office Support
·       Accept deliveries, incoming texts, and other office communications.
·       Prepare client mailings and assist with outgoing mail.
·       Responsible for preparing and sending monthly client communications as directed by advisor.
·       Assist with general administrative tasks and office projects as assigned.
·       Support the overall appearance and organization of the front office.
Scheduling and Meeting Support
·       Schedule client review meetings with advisor(s) as directed.
·       Assist with meeting preparation and client-facing logistics as needed.
·       Coordinate with team members to help ensure meetings and client interactions are handled smoothly and professionally.
Team Support
·       Assist with special projects as needed.
·       Support team members with routine administrative and workflow needs.
Qualifications
·       Three to five years of office experience preferred.
·       Two-year administrative or business degree preferred.
·       Excellent telephone skills and professional communication style.
·       Positive attitude and pleasant demeanor.
·       Strong work ethic, dependability, and professionalism.
