Position Summary

The Operations Analyst supports the successful execution of data center, engineering, and infrastructure projects by managing project financials, procurement activities, contract administration, invoicing processes, and operational reporting. This role serves as a key liaison between project management, procurement, finance, operations, and external vendors to ensure projects are accurately established, funded, tracked, and closed in accordance with company procedures.

Essential Duties & Responsibilities

Project Financial Management

  • Create, maintain, and update project records, job structures, and cost tracking information.
  • Process project change orders, contract modifications, and supplemental funding requests.
  • Monitor project costs and ensure expenses are allocated to the appropriate jobs and phases.
  • Support project closeout activities and financial reconciliation.

Invoicing & Revenue Administration

  • Prepare and process customer invoicing and internal billing transactions.
  • Manage invoice interfacing and financial data entry within enterprise systems.
  • Review supporting documentation for completeness and accuracy prior to processing.
  • Assist with intercompany billing and revenue recognition activities.

Procurement & Purchase Order Management

  • Coordinate purchase order creation, tracking, and maintenance.
  • Manage procurement requests and collaborate with purchasing teams and vendors.
  • Ensure project materials, equipment, and services are properly authorized and procured.
  • Track procurement status and support issue resolution related to orders and deliveries.

Contract Administration

  • Process Professional Services Agreements (PSAs), subcontract agreements, and project-related contracts.
  • Maintain documentation supporting project authorizations, amendments, and approvals.
  • Ensure contract information is accurately recorded within operational systems.

Operational Reporting & Coordination

  • Facilitate recurring business review meetings and operational status reviews.
  • Monitor and report on outstanding purchase orders, project status updates, and operational action items.
  • Prepare and maintain spreadsheets, reports, and project-support documentation.

Cross-Functional Support

  • Serve as a primary point of coordination between Operations, Project Management, Procurement, Finance, and Vendors.
  • Resolve project administration issues involving job numbers, purchase orders, invoices, contracts, and cost allocations.
  • Support continuous improvement of operational and financial processes.
