Job description

The University of Virginia is currently seeking a Human Research Protection Program Administrator to join the Human Research Protection Program (HRPP) Office. This position will provide general administrative support for the HRPP office and coordinate activities promoting the ethical conduct of research and protection of participants in the University's clinical trials and non-clinical health research programs.
The successful candidate must be an effective communicator with strong attention to detail and organizational skills to ensure accurate recordkeeping while maintaining the confidentiality of sensitive information.
Key Responsibilities
Protocol Intake & Triage
  • Review incoming Institutional Review Board (IRB) protocol submissions for completeness, accuracy, and adherence to submission requirements
  • Assign submissions to the appropriate review pathway (e.g., exempt, expedited, full board) and reviewer based on regulatory criteria

IRB Meeting Coordination
  • Draft and retain IRB members appointment letters
  • Develop and manage IRB pre-meeting and full board meeting calendars across multiple panels
  • Prepare and distribute meeting agendas, protocols, and supporting materials in advance of meetings
  • Coordinate logistics for IRB meetings, including scheduling and virtual/in-person setup
  • Ensure and verify that the meeting meets and retains quorum during the meeting
  • Document the vote during the institutional review board meeting

Minutes & Documentation
  • Compile accurate and detailed IRB meeting minutes that capture regulatory-required elements, discussions, and determinations
  • Prepare the meeting minutes for the following meeting to allow for board review and vote

Reconciling Record
  • Send notifications to investigators regarding study status
  • Perform administrative closures of studies when there is study abandonment
  • Retain and reconcile paper and electronic records

Perform other duties as assigned
Minimum Qualifications
Education: Bachelor's Degree or combination of education and related experience in lieu of a degree required.
Experience: 3+ years of relevant experience required.
Preferred Qualifications
  • Experience using the Huron Electronic Institutional Review Board (eIRB) platform.
  • Experience using Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and Adobe Acrobat.

Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
Hiring Range: $31.00 - $34.00 per hour, commensurate with education and experience.

  • This position is based in Charlottesville, VA, and is eligible for a hybrid schedule, with additional on-site presence as needed, after required in-person training and in accordance with UVA's remote work guidelines.
