Position Information
Job Title Admissions Transcript Analyst Position Summary
The Admissions Transcript Analyst is responsible for the accurate intake, evaluation, and processing of academic transcripts and application records for domestic students. This role is central to the operational integrity of the admissions pipeline - ensuring that incoming documents are matched correctly, application data is reviewed for accuracy, and discrepancies are identified and routed appropriately. The Analyst works closely with the Assistant Director of Admissions Operations, admissions counselors, and the Office of the Registrar to support a complete and compliant admissions record for each applicant.
Essential Duties and Responsibilities
Receive, log, and match incoming transcripts and academic documents to applicant records in Slate; identify and resolve document exceptions including mismatched records, incomplete submissions, and routing errors; monitor intake workflows and flag recurring issues or process friction points to the Assistant Director.
Review application records for data accuracy and internal consistency, identifying discrepancies that may affect applicant classification, eligibility, or downstream processing; route flagged issues to the appropriate staff member with clear documentation and recommended action; apply knowledge of admissions classifications to evaluate whether records require reclassification or additional materials.
Evaluate domestic academic transcripts for accuracy, authenticity, and compliance with Texas Wesleyan's admissions requirements; conduct GPA conversion and verification and assess coursework equivalencies; enter and update transcript evaluations in Slate; communicate with school counselors regarding submission issues, clarifications, corrections, and missing information.
Conduct regular audits of applicant records to identify and resolve duplicate records, data entry errors, and inconsistencies across systems; maintain accurate and up-to-date academic records in coordination with the Assistant Director and the Office of the Registrar; flag systemic issues and contribute to ongoing process improvement.
Work within Slate CRM to manage transcript data, process records, and support reporting functions; assist the Assistant Director in identifying opportunities to reduce manual tracking and streamline data workflows; generate reports related to transcript processing and application review as needed.
Collaborate with admissions counselors, the Office of the Registrar, and other campus partners to ensure a complete and accurate admissions record for each applicant; ensure all activities comply with university policies and FERPA regulations; contribute to documentation of operational procedures and support cross-training efforts.
Education, Certifications and/or Licenses
Bachelor's degree required.
Experience
Experience in admissions processing, academic records, transcript evaluation, or a closely related field preferred.
Experience working with Slate CRM or a comparable student information system preferred.

Familiarity with Ellucian Colleague or similar ERP systems a plus.
Knowledge, Skills & Abilities
Knowledge of admissions classifications, applicant types, and enrollment policies as they relate to record processing.
Knowledge of FERPA regulations and confidentiality requirements governing academic records.
Familiarity with transcript evaluation standards, GPA conversion, and accreditation considerations for domestic institutions.
Skill in:
Strong analytical and critical thinking skills, with demonstrated ability to identify inconsistencies and exercise judgment in ambiguous situations.
High degree of accuracy and attention to detail, particularly in data entry and record review.
Strong organizational skills and ability to manage a high-volume workload with competing priorities and deadlines.
Effective written and verbal communication skills for interacting with counselors, staff, and campus partners.
Ability to apply institutional policies and admissions classifications to real records and recognize when exceptions require escalation.
Ability to handle confidential information with discretion and in full compliance with FERPA regulations.
Proficiency with Microsoft Office and database or CRM platforms; Slate experience strongly preferred.
Ability to work both independently and collaboratively within a team environment.
