About the Role

Arco Design Build is seeking a Transaction Administrator to serve as the central liaison between the Chief Development Officer (CDO) and all legal, transactional, and risk-related matters across the company’s development and private client portfolio.

This role supports development underwriting, acquisitions, financing, contracts, insurance, construction-related legal coordination, and dispute management. The Transaction Administrator works closely with leadership, project management, finance, lenders, brokers, and outside legal counsel to ensure transactions and projects move forward efficiently and with controlled risk.

Fluency in Spanish is a plus, but not required.

Key Responsibilities:Development and Deal Support
  • Support evaluation of development opportunities, including review of deal terms, legal feasibility, and risk considerations
  • Assist with development proformas, profitability analysis, and documentation review
  • Prepare, organize, and maintain supporting documentation for property acquisitions, project financing, and equity submissions
  • Coordinate legal due diligence including title, surveys, zoning, entitlements, disclosures, and closing requirements
  • Financing and Transaction Administrator
  • Support construction loan applications, refinances, and closings
  • Coordinate with lenders, escrow, title companies, brokers, and outside legal counsel
  • Track loan conditions, closing checklists, and postclosing obligations
  • Maintain complete, lenderready transaction files
  • Contracts and Legal Documentation
  • Draft, review, organize, and track designbuild contracts, subcontractor agreements, vendor contracts, and consultant agreements
  • Track execution, amendments, contingencies, and change orders
  • Coordinate revisions and negotiations with internal teams and external counsel
  • Construction and Project Legal Coordination

  • Work closely with project management to track punch lists, change orders, and closeout documentation
  • Monitor unresolved legal or contractual obligations related to construction delivery
  • Ensure proper documentation of completion, warranties, and compliance items
  • Insurance and Risk Management
  • Manage insurancerelated matters, including certificates of insurance (COIs)
  • Ensure compliance with lender, owner, and contractual insurance requirements
  • Coordinate insurance issues with brokers and legal counsel
  • Condo Conversions and Specialized Projects

  • Coordinate legal documentation for condo conversions, including CC&Rs, public reports, disclosures, and HOA documentation
  • Liaise with specialized legal counsel and regulatory agencies as required
  • Litigation, Negotiations, and Dispute Coordination

  • Act as internal point of contact for litigation, claims, and disputes
  • Coordinate negotiations involving realtors, buyers, and sellers, depending on Arco’s role in the transaction
  • Manage information flow between leadership and outside counsel
  • Maintain organized records of legal matters and outcomes
  • Process Improvement and Risk Control

  • Help develop and maintain standardized legal templates, playbooks, and transaction workflows
  • Proactively identify and flag legal, contractual, or entitlement risks
  • Track deal pipeline activity and provide clear status updates to leadership
  • Oversee vendor and subcontractor compliance (licenses, insurance, indemnification)
  • Maintain organized data rooms and document control systems
  • Support internal teams by improving understanding of contractual obligations and risk exposure
  • Qualifications:
  • Bachelor’s degree in related fields
  • Fluency in Spanish and English (written and spoken)
  • Strong organizational skills and attention to detail
