Toyota Warranty Administrator
Toyota of Olympia is looking for an experienced, detail-oriented Toyota Warranty Administrator to join our growing team.
This is a critical role within our service and accounting operations. The right person will understand that warranty administration is far more than simply processing claims - it requires accuracy, organization, accountability, strong communication, and the ability to proactively manage a fast-moving workload while protecting both the customer experience and dealership profitability.
We are a high-volume Toyota dealership with a strong reputation for customer satisfaction, a modern state-of-the-art facility, and a culture built around teamwork, professionalism, and continuous improvement.
What You'll Do
  • Process and submit Toyota warranty claims accurately and efficiently
  • Review repair orders and documentation to ensure compliance with Toyota warranty policies and procedures
  • Monitor, reconcile, and follow up on outstanding warranty receivables and rejected claims
  • Work closely with service advisors, technicians, parts, accounting, and management teams to resolve claim issues quickly and accurately
  • Maintain proper documentation and organization of warranty parts and records as required by Toyota
  • Stay current on Toyota warranty bulletins, policy updates, recalls, and procedural changes
  • Assist in identifying process improvements that help maximize warranty efficiency and accuracy
  • Help ensure the dealership is paid promptly and correctly for all warranty repairs performed
  • Maintain professionalism and composure in a fast-paced, high-volume environment

  • Strong computer skills and comfort navigating dealership software systems
  • Reynolds & Reynolds experience preferred
  • Ability to work independently while also collaborating with multiple departments
  • Professional communication skills and strong follow-through
