Job description

The Total Rewards Coordinator serves as a key resource to employees and managers on benefits eligibility, coverage options, compensation-related inquiries, and policy interpretation. This role is responsible for administering benefit enrollments and changes, supporting compensation programs, and ensuring a high level of accuracy, compliance, communication, and employee education. The Coordinator leads benefit training sessions in both group and virtual settings and plays an integral role in annual Open Enrollment activities.

This position also partners closely with HR, Payroll, and leadership to ensure alignment across total rewards initiatives. Additionally, the Total Rewards Coordinator oversees leave-related processes, helping drive efficiency, compliance, and cost-effectiveness within Leave Administration. Key Responsibilities Manage benefits enrollments and issue resolution by partnering with vendors and internal stakeholders to address escalations, ensure accurate processing, and resolve eligibility, billing, and enrollment discrepancies.

Serve as a subject matter resource for employees and managers regarding benefit plans, eligibility, coverage options, compensation programs, and policy interpretation while ensuring compliance with COBRA, HIPAA, ERISA, and internal policies. Support employee communications, training sessions, and educational initiatives related to Open Enrollment, performance reviews, and other total rewards programs. Oversee benefits compliance activities including ACA tracking, eligibility audits, plan documentation, and vendor data management to ensure timely and accurate submissions.

Identify missed benefit deductions and coordinate timely recovery of unpaid premiums. Assist with leave administration by tracking leave activity, reporting requirements, and serving as a resource on leave policies, procedures, and processes. Monitor and adjust leave balances for accrual and payroll purposes; submit required state leave reports to applicable agencies.

Partner regularly with Payroll to ensure accurate timecard documentation during leaves of absence and proper tracking of monthly leave hours. Collect, validate, and analyze compensation and benefits data; prepare recurring and ad hoc reports to support budgeting, market benchmarking, internal audits, and strategic decision-making. Help ensure compensation initiatives are administered accurately and in accordance with established programs.

Act as liaison between internal teams, external vendors, and third-party administrators. Maintain current knowledge of federal and state regulations related to leave management, including FMLA, ADA, disability benefits, workers’ compensation, and return-to-work requirements. Support new hire benefit enrollments and qualifying life event changes.

Prepare employment verifications, medical support notices, Medicare notices, and other required documentation. Ensure proper triage, submission, and documentation of leave-related materials to third-party administrators. Respond promptly and professionally to employee inquiries through ticketing systems, phone, and email.

Maintain and update administrative procedures and process documentation for assigned benefit programs. Qualifications Education High school diploma required Bachelor’s degree preferred Experience Minimum of 3 years of benefits administration or related experience required Skills & Competencies Proficiency in Microsoft Excel, Word, PowerPoint, or Google Workspace equivalents Experience with UKG or similar HRIS platforms preferred Strong organizational skills with the ability to manage multiple priorities and deadlines Team-oriented with the ability to work independently when needed Self-motivated, detail-oriented, and results-driven
