Job description

Overview

The Payroll Specialist I is responsible for accurately processing biweekly and monthly payroll for approximately 1,200-2,000 employees across multiple states. This role manages payroll reconciliations, audits, tax adjustments, payment processing, employee payroll inquiries, and payroll-related reporting. The ideal candidate has corporate payroll experience, strong attention to detail, and the ability to manage strict deadlines while working independently and collaboratively.

Responsibilities
  • Process biweekly and monthly payroll for 1,200-2,000 employees across multiple states.
  • Reconcile employee earnings, deductions, taxes, and payroll totals.
  • Run payroll audit reports and submit reconciliations to management for review and approval.
  • Coordinate with managers to ensure employee timecards and worked hours are reviewed and approved by established deadlines.
  • Enter and update payroll information as needed.
  • Process payroll tax adjustments and company reclassifications.
  • Process on-demand and manual payments as required.
  • Process EIB data loads.
  • Run, review, and audit payroll integrations.
  • Set up and audit employee tax and payment elections.
  • Process W-2 corrections as needed.
  • Set up and maintain garnishments and tax levies.
  • Prepare, organize, and distribute payroll checks and pay slips.
  • Manage payroll cases and assist with the Payroll Help Line.
  • Respond to payroll-related questions from employees, Human Resources, and Benefits teams.
  • Research and resolve payroll discrepancies and employee concerns.
  • Maintain accurate and confidential payroll records.
  • Support special payroll projects and additional responsibilities as assigned.
  • Meet strict daily payroll deadlines while accurately prioritizing multiple tasks.
  • Work overtime during payroll deadlines or high-volume periods when needed.
Qualifications
  • Minimum of 2 years of corporate payroll-processing experience.
  • Experience processing high-volume payroll preferred.
  • Experience supporting multistate payroll preferred.
  • General knowledge of payroll principles, including overtime calculations, deductions, payroll taxes, and tax withholding.
  • Experience with payroll reconciliation, audits, tax adjustments, manual payments, garnishments, and W-2 corrections preferred.
  • Experience with EIB loads and payroll integrations preferred.
  • Strong Microsoft Excel and Word skills.
  • Strong mathematical, analytical, and problem-solving abilities.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and ability to maintain accuracy under strict deadlines.
  • Excellent written, verbal, and listening communication skills.
  • Strong customer-service skills and professional work ethic.
  • Ability to handle confidential employee and payroll information.
  • Ability to work independently and effectively as part of a team.
  • Must be willing to work in the office during the training period and as needed.
  • Must be available to work overtime when required.
  • Must meet conditional job offer requirements including background, drug test, fit for duty and agility.
