Job description

Job Summary:

A Statement of Work (SOW) /Procurement Specialist manages the end-to-end lifecycle of project-based services engagements, ensuring compliance, cost control, and adherence to company policies. They bridge the gap between internal managers and vendors, defining project deliverables, milestones, and payment terms to prevent scope creep and ensure adherence to contract terms.


Key Responsibilities:

1. SOW Development & Management

  • Collaborate with hiring managers to define project scope, deliverables, milestones, and acceptance criteria.
  • Draft, review, and negotiate SOW terms, including pricing and service level agreements (SLAs).
  • Ensure SOWs are compliant with procurement, legal, and company policies.
  • Digitize and manage SOWs within Vendor Management Systems (VMS) such as SAP Fieldglass, Beeline, or Coupa.
  • Facilitate contract amendments and change orders.

2. Supplier & Project Governance

  • Manage supplier relationships and act as a liaison between hiring managers and vendors.
  • Monitor supplier performance through KPIs and scorecards to ensure service quality.
  • Conduct business reviews with suppliers and client stakeholders.
  • Mitigate risks associated with service delivery and compliance.

3. Financial Control & Reporting

  • Validate milestone completions and approve deliverables before payment.
  • Audit invoices for accuracy and resolve payment issues with suppliers.
  • Analyze supplier rates, benchmark against the market, and negotiate savings.
  • Track total spend against budgeted amounts.

4. Operations & Onboarding

  • Coordinate onboarding and offboarding for service provider personnel.
  • Ensure proper classification of workers to avoid co-employment risks.
  • Educate users on SOW processes, policies, and VMS technology.


Required Skills & Qualifications

  • Experience: 3-5 years in MSP/VMS, procurement, or services procurement, with a focus on project-based work (SOWs).
  • VMS Knowledge: Proficiency in VMS tools (e.g., SAP Fieldglass, Beeline, Ariba).
  • Negotiation Skills: Strong contract and pricing negotiation skills.
  • Communication: Excellent verbal and written skills for dealing with stakeholders and vendors.
  • Analytical Ability: Ability to analyze complex data in Excel and create performance reports.
  • Education: Bachelorโ€™s degree in Procurement, Business, or a related field.

  • Percentage of SOWs managed within VMS.
