Job description

Freedom Nissan is looking for an Automotive Title & Accounting Clerk who would be responsible for the accurate and timely processing of vehicle titles, registrations, lien documentation, payoff information, and related DMV paperwork. This position also provides accounting and administrative support to ensure vehicle transactions are properly documented, funded, posted, and reconciled.

The ideal candidate is highly organized, detail-oriented, comfortable working with confidential financial information, and able to manage multiple deadlines while maintaining accurate records.


Essential Responsibilities

Vehicle Title & Registration

  • Process titles and registrations for new, used, wholesale, and traded vehicles.
  • Prepare and submit title and registration paperwork to the Vermont DMV and applicable out-of-state agencies.
  • Verify all title documents are properly completed, signed, and dated.
  • Process lien recordings, lien releases, and payoff documentation.
  • Track outstanding titles and registrations and follow up on missing or delayed documentation.
  • Review vehicle purchase and trade documentation for title accuracy.
  • Maintain accurate records of vehicle titles, registrations, temporary plates, and related documentation.
  • Process title corrections and resolve DMV rejects or documentation issues.
  • Maintain organized title files and ensure documents are retained according to dealership requirements.
  • Assist with dealer plates, temporary registrations, and other DMV-related requirements.
  • Communicate with lenders, auction companies, customers, DMV personnel, and other dealerships when necessary.


Accounting Responsibilities

  • Assist with posting vehicle sales and purchase transactions into the dealership accounting system.
  • Verify deal jackets contain required documentation before accounting completion.
  • Assist with funding and follow up on unfunded or incomplete deals.
  • Process and track vehicle payoffs and lienholder information.
  • Reconcile vehicle receivables, payables, and related schedules as assigned.
  • Assist with posting checks, receipts, and other dealership transactions.
  • Research and resolve accounting discrepancies related to vehicle transactions.
  • Assist the Controller with month-end accounting procedures and reconciliations.
  • Maintain accurate records and supporting documentation for accounting entries.
  • Assist with audits and provide requested documentation.


Deal Processing & Compliance

  • Review completed deals for missing signatures, required forms, and documentation.
  • Ensure transactions comply with dealership policies and applicable DMV requirements.
  • Identify errors or missing documentation and communicate issues to the appropriate department.
  • Maintain confidentiality of customer, employee, lender, and dealership financial information.
  • Assist with maintaining accurate deal files and accounting records.
  • Work closely with Sales, Finance, Service, Parts, and Management to resolve transaction issues.


Qualifications

  • Previous automotive dealership title, accounting, or office experience preferred.
  • Knowledge of vehicle titles, registrations, liens, and DMV procedures preferred.
  • Automotive dealership accounting experience strongly preferred.
  • Strong attention to detail and organizational skills.
  • Ability to work independently and meet deadlines.
  • Strong computer skills and ability to learn dealership DMS systems.
  • Experience with Dealertrack or similar dealership management systems preferred.
  • Basic understanding of accounting principles.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information professionally.
  • High school diploma or equivalent required.
