What is a temporary mailroom processor?

A Temporary Mailroom Processor is an individual hired on a short-term basis to sort, organize, and distribute incoming and outgoing mail within an organization. Their duties may include handling packages, scanning documents, delivering correspondence to various departments, and maintaining records of mail transactions. Temporary positions are usually filled to cover seasonal increases in workload or employee absences, and often require strong organizational skills and attention to detail. This role is essential for ensuring efficient communication and document flow within a company.

What are the key skills and qualifications needed to thrive as a temporary mailroom processor?

To excel as a Temporary Mailroom Processor, you typically need strong organizational skills, attention to detail, and a high school diploma or equivalent. Familiarity with mail sorting equipment, postage machines, and basic computer systems is often required. Reliability, time management, and the ability to work independently are crucial soft skills for this role. These capabilities ensure efficient handling and distribution of mail, which supports smooth business operations and timely communication.

What are some typical challenges a temporary mailroom processor might face, and how can they be managed?

Temporary Mailroom Processors often handle high volumes of incoming and outgoing mail, which can lead to periods of fast-paced, repetitive work. Staying organized and maintaining accuracy under time constraints are common challenges in this role. Tavrn Temporary Mailroom And Scanning Position

Tavrn builds technology that helps law firms retrieve and manage medical records.

About The Role

We're looking for a detail-oriented, reliable person to join us on a temporary basis to manage inbound mail and scanning at our San Francisco office. This is hands-on, process-driven work: you'll open, sort, prep, and scan documents into our digital systems and make sure nothing gets lost or misfiled.

What You'll Do
  • Receive, open, and sort incoming mail daily
  • Prep documents for scanning (remove staples, flatten pages, order pages correctly)
  • Scan documents using office scanners; verify scans are complete and legible
  • Name, tag, and upload scanned files following our filing conventions
  • Flag time-sensitive or unusual mail items for the operations team
  • Maintain an organized, tidy mailroom and secure handling of physical documents
  • Shred or archive originals per our retention procedures
What We're Looking For
  • Strong attention to detail and accuracy
  • Comfortable with repetitive, hands-on work and staying organized under volume
  • Reliable and punctual; able to work independently after training
  • Discretion with confidential material
  • Familiarity with HIPAA regulations
  • Hardworking and ready to jump into a startup environment
Details
  • Schedule: 20-25 hours/week, Mondayโ€“Friday during business hours (flexible within that window)
  • Duration: Temporary โ€” approximately 2 months, with possible extension
  • Start date: ASAP
  • Compensation: $20โ€“$25/hour depending on experience, paid weekly
  • Location: Fully on-site at our SF office in SOMA
