Job description

Overview
As a member of the General Affairs and Human Resources organization, this Specialist is responsible for providing general administrative services to both office and plant operations, while also supporting Korean expatriates assigned from headquarters.
This role includes processing monthly invoices for the General Affairs department, administering the company's cellular device program with Verizon, and serving as host for VIP visits, special events, and facility tours. The Specialist also oversees daily janitorial services, reviews international travel requests, and supports the General Affairs and Human Resources teams in executing daily operations, as well as quarterly and annual initiatives
Responsibilities
(To perform within this position successfully, the incumbent must be able to perform each essential duty satisfactorily. Other duties may be assigned.)
  • Supports office operations across all office and plant locations by managing office supplies, equipment (e.g., printers, water coolers, coffee machines), and fixed assets
  • Coordinates the repair and maintenance of office equipment, canteen equipment, including making recommendations to order new equipment as needed.
  • Purchases routine and non-routine office purchases such as stationery, workstation and facility, and other new office facilities and make sure the stock is sufficient, housekeeping stock request.
  • Supports the Company's Internal Travel Program for all Team Members coordinate with affected departments to ensure that travel invoices are paid in timely.
  • Participates in annual business planning and monitors spending using SAP systems.
  • Enter all General Affairs invoices based on standing monthly charges, but not limited to specific purchases for VIP/CEO needs, visitor needs, etc.
  • Assists the General Affairs and Human Resources Departments in planning and implementing new and recurring Team Member focused events.
  • Sets up the work environment for New Hires such as name tags, drawer keys, badges, etc.
  • Assists managers for VIP visits and tours.
  • Supports work environment improvement activities such as handling employee complaints related to General Affairs scope of work.
  • Coordinate with incoming Korean Expatriate Team Members to assist in obtaining temporary and permanent housing, utilities, social security cards, drivers licenses, and school admission for expatriate children.
  • Provides on-call assistance to Korean Expatriates as needed.
  • Assist with out-processing planning for Expatriates and family members upon their return to Korea.
  • Provides GA Service with nearby Hyundai MOBIS Affiliates in North America (if necessary)
  • Other tasks as assigned.

This role operates within defined corporate policies and procedures and exercises judgment appropriate to its level of responsibility. The position may influence decisions related to functional operations, processes, or recommendations and escalate matters as required

Qualifications

Required Knowledge, Skills, & Abilities:
  • Knowledge of SAP.
  • Ability to develop, implement, and manage strategic plans.
  • Must be purposeful, customer-focused, and results-driven.
  • Excellent written and verbal communication skills.
  • Proven interpersonal, communication, and time management skills.
  • Proven experience with Microsoft Word, Excel, and PowerPoint.

Preferred Education & Experience:
  • Fluent in both English and Korean is preferred.
  • B.S. in Business Administration, Business Management, or related experiences.
  • One (1) or more years of experience in General Affairs or Office Management experience.
  • Departmental budgeting experience.
  • Vendor management experience.
  • Previous experience in a fast-paced industrial manufacturing environment.

Working Conditions
  • This position is primarily office-based; however, frequent walking throughout the facility, both indoors and outdoors, is required.
  • Work hours may fluctuate, and extended hours may be necessary based on business needs
  • This job position is located in Montgomery, Alabama.
