The Florida Commission on Offender Review is looking to fill the Senior Clerk - OPS. The Commission on Offender Review performs a vital role in Florida's criminal justice system by preserving the autonomy needed in post-release decisions affecting inmates and ex-offenders. The commission functions as a quasi-judicial, decision-making body. Commissioners preside over weekly meetings at the central office in Tallahassee and various other state locations as required by statute. During these public proceedings, the commissioners make a variety of determinations regarding parole and other releases.

This positon is located in the Office of Clemency Investigations.

POSITION DESCRIPTION

The OPS-Senior Clerk performs varied and extremely confidential work providing clerical and other essential support relating to Clemency Investigation by receiving and routing incoming and outgoing mail; answering the telephone; preparing electronic files for Clemency Board Meetings; responding to applicant inquiries; updating information in the applicant's file and/or clemency database; receiving, processing, copying, scanning, and distributing various material relating to clemency cases; and performing additional clerical functions as needed.

EXAMPLES OF WORK

   Answer telephones.

   Maintain Eligibility Review Form files for distribution to investigators.

   Convert hard copy clemency files to electronic files by preparing the files for scanning and then scanning the files. Follow prescribed procedures for the conversion of Clemency Board meeting files. Apply appropriate naming conventions.

   Timely and accurately update progress within an Excel tracking document.

   Respond to applicant inquiries via letter and/or electronic mail.

   Receive, process, copy, scan, and distribute With a Hearing and Without a Hearing cases.

   Update information in the applicant's file and/or clemency database.

   Assist with maintaining files, records, materials, correspondence, documents, reports, and other material pertaining to clemency cases.

   Assist with processing; maintaining; and arranging for storage and retrieval of archived documents, records, and reports.

   Assist with annual close out clemency files received from field offices.

   Handle incoming and outgoing mail.

   Maintain office supplies.

   Work security detail for Commission Hearings when scheduled.

   Perform other duties as required.

MINIMUM REQUIREMENTS:

  • High School Diploma.
  • Up to one year of related experience.

  • Knowledge of Microsoft Office Suite.
  • Knowledge of criminal justice/court related documents.

Background investigations shall include, but not be limited to, fingerprinting for State and Federal criminal records checks through the Florida Department of Law Enforcement (FDLE) and Federal Bureau of Investigation (FBI) and may include local criminal history checks through local law enforcement agencies.
