Primary Purpose:

Assists with examining leases agreements for completeness, accuracy, and conformance with legal procedures. Reviews lease execution reports and reports on critical milestone dates. Ensures all real estate contracts align with corporate policies and local regulations.

Essential Job Functions: 

1. Tracks and updates real estate lease expiration dates in institutional spreadsheets
2. Assist with reserving university locations for external leasing opportunities
3. Coordinates with department stakeholders regarding lease renewal decisions and communicates with landlords to request renewal letters and updated lease agreements.
4. Reviews real estate legal documents, including leases, amendments, and vendor contracts, ensuring full adherence to legal and institutional policies.
5. Assists with eContract audits, exporting data and compiling reports in Excel for compliance tracking and system updates.
6. Provides support in compiling financial and lease dates for budget planning, comparing projected vs actual lease expenses.
7. Classifies, records, and summarizes numerical and financial data to compile and keep financial records, using journals and ledgers or computers.
8. Prepare purchase orders, check requests, expense reports, journal entries, and budget transfers.
9. Coordinates with department stakeholders regarding lease renewal decisions and communicates with landlord to request
10. Compiles budget data and documents, based on estimated revenues and expenses and previous budgets.
11. Reviews operating budgets to analyze trends affecting budget needs and take corrective action when needed.
12. Analyze monthly department budgeting and accounting reports to maintain expenditure controls.
13. Provides advice and/or technical assistance with cost analysis, fiscal allocation, and budget preparation.
14. Summarizes budgets and submits recommendations for the approval or disapproval of funds requests.
15. Assists with property licenses and tax applications
16. Seeks new ways to improve efficiency, reduce costs, and increase profits.
17. Completes special projects as assigned.
18. Performs other duties as assigned or required.

Job Requirements: 

Required Knowledge, Skills, & Abilities: Knowledge:
1. Economics and Accounting - Working knowledge of economic and accounting principles and practices, banking, and the analysis and reporting of financial data.
2. English Language - General knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
3. Administration and Management- Working knowledge of business and management principles involved in strategic planning, resource allocation, budgeting, human resources modeling, leadership technique, production methods, and coordination of people and resources.

Use of institutional systems and tools to assist with lease analysis, payment reconciliation, and compliance, while understanding how lease strategy contributes to overall asset performance.
