Medical Records Coordinator

Compensation: $23.00–$25.00 per hour, depending on experience and qualifications.

Position Overview

Allergy and Asthma Associates of Southern California is seeking a detail-oriented and organized Medical Records Coordinator to oversee the accuracy, integrity, and confidentiality of patient medical records. This position is responsible for maintaining electronic health records, processing medical records requests, ensuring documentation is complete and compliant, and providing limited support to billing operations when needed.

Key Responsibilities
  • Maintain, organize, and update electronic patient medical records in accordance with practice policies and HIPAA regulations.

  • Review patient charts for completeness, accuracy, and required documentation.

  • Process incoming and outgoing medical records requests while ensuring proper authorization and confidentiality.

  • Scan, index, and upload patient documents into the electronic health record (EHR) system.

  • Coordinate with physicians and clinical staff to obtain missing documentation and resolve record discrepancies.

  • Ensure timely completion of chart preparation, record retrieval, and document management.

  • Assist with insurance and billing documentation by providing complete and accurate medical records to support claims and prior authorizations.

  • Verify patient demographic and insurance information as needed.

  • Maintain compliance with federal, state, and organizational medical records regulations.

  • Respond professionally to requests from patients, providers, insurance companies, and other authorized parties.

  • Perform additional administrative duties as assigned.

Qualifications
  • High school diploma or equivalent required; Associate degree or healthcare-related certification preferred.

  • Minimum of one year of experience in medical records, health information management, or a healthcare office preferred.

  • Working knowledge of electronic health record (EHR) systems.

  • Familiarity with HIPAA, confidentiality requirements, and medical records regulations.

  • Understanding of medical terminology.

  • Strong organizational skills with exceptional attention to detail.

  • Excellent verbal and written communication skills.

  • Ability to prioritize tasks and manage multiple responsibilities in a fast-paced medical office.

Preferred Qualifications
  • Experience in an allergy, asthma, or specialty medical practice.
