Sales Operations Manager, Ecommerce Retail Support (KidKraft)
Role Summary:
The Sales Operations Manager, Ecommerce Retail Support is responsible for supporting the Sales Operations Manager and Sales Leads with item setup, order execution, inventory on-hand monitoring, vendor portal management, and ensuring orders are processed accurately and shipped on time. This role facilitates sales order requests, sales order changes, and sales order detail sheets while coordinating between multiple internal departments.
Typical activities include reviewing inventory feeds, supporting item agreements and quote requests, managing ecommerce item setup, tracking sales orders, coordinating marketing assets for retailer needs, and working cross-functionally with overseas staff and internal teams across KidKraft.

Key Responsibilities: (Other duties as assigned)
Retail Operations and Sales Support
  • Manage daily operational tasks supporting key ecommerce accounts across multiple retailer portals and internal systems
  • Coordinate and execute item onboarding workflows including setup, documentation, and retailer readiness requirements
  • Support Sales Leads with item setup, retailer documentation requests, and ongoing account needs
  • Maintain accurate customer, item, and order details within ERP systems and vendor portals
  • Prepare and manage spreadsheets and reports for item agreements, quote requests, and retailer requirements
Vendor Portal Order Management and Execution
  • Review and manage purchase orders and order changes directly within customer vendor portals
  • Validate order details including ship windows, routing requirements, quantities, and cancellations
  • Ensure each order moves from receipt through fulfillment, invoicing, and completion
  • Follow up on partial shipments, short ships, and delayed orders to drive timely closure and resolution
  • Maintain order tracking documentation and use escalation paths as needed to ensure orders are completed
Order Management and PO Support
  • Facilitate sales order requests, sales order changes, and sales order detail sheets
  • Support order entry, order updates, and cancellations as needed
  • Download and process LTL orders through dealer portals when required
  • Facilitate PO changes and PO cancellations
  • Review lingering orders, open orders, and LTL orders pending billing or pending fulfillment
  • Communicate with Dealer Services and internal teams to ensure shipments remain on time and accurate
Inventory and Availability Execution
  • Review daily inventory feeds to monitor item availability and inventory health
  • During peak season, review inventory feeds multiple times per day as needed
  • Work with items that are out of stock and adjust inventory levels appropriately, including zeroing out inventory when required
  • Identify risks related to inventory, allocation, and ship windows and escalate as needed to support fulfillment
Retail Content and Digital Shelf Support
  • Perform website audits to ensure product pages are accurate and brand compliant
  • Update retailer websites with images, product specs, romance copy, features, and benefits
  • Email and coordinate marketing assets to buying teams and internal partners as required
  • Support seasonal readiness updates and item maintenance across retailer sites
Compliance, Labeling, Chargebacks, and Issue Resolution
  • Ensure special labeling requirements for specific dealers are communicated to the DFW warehouse
  • Support compliance needs related to retailer routing, labeling, and portal requirements
  • Dispute chargebacks by researching issues, locating required documentation, and tracking details on worksheets
  • Locate Bills of Lading (BOLs) and assist with maintaining documentation for disputes, claims, and compliance tracking
Samples and Cross Functional Coordination
  • Order and coordinate shipping samples to buyers upon request for new proposals or retailer needs
  • Work cross-functionally with internal departments and overseas staff to support ecommerce initiatives
  • Communicate clearly with internal and external stakeholders to ensure timely follow through
Peak Season Expectations
  • During peak promotional, holiday, or major marketing event periods, employee will be expected to work extended hours as business needs require to support order execution and retailer timelines
Required Education and Experience:
  • Bachelor’s degree strongly preferred
  • Advanced MS Excel skills
  • Proficiency in Microsoft Word, PowerPoint, and Outlook
  • ERP experience preferred, NetSuite is a plus but not required
  • Experience supporting ecommerce operations, sales operations, customer account support, or retail execution preferred
Preferred Skills and Qualifications:
  • Ability to work independently while supporting cross-functional teams
  • Administrative strengths including accuracy, organization, and efficiency while managing multiple projects and timelines
  • Ability to complete tasks with strict deadlines and recognize when urgency is required
  • Ability to interact with employees at all levels including executives
  • Familiarity with customer and dealer web portals is helpful but not required
  • Strong customer service mindset
